Role Summary
We are seeking a Office Manager for our new office and collaboration space opening in March 2025 in the Presidio section of San Francisco. This is a fully onsite role, hours will be 8:30 am – 5 pm Monday through Friday. This newly created position will play a key role in creating a first impression of Apogee Therapeutics via in-person and phone interactions with individuals, including employees, guests and vendors. We are seeking a passionate, welcoming and organized professional to act as an ambassador to all visitors who come to our new location in the Presidio.
Key Responsibilities
- Ensures a smooth and seamless experience by communicating warmly, clearly and effectively with employees, guests, vendors, etc.
- Answers and screens phone calls to handle caller’s inquiries and takes/relays detailed messages when required
- Greets, assists and/or directs visitors, vendors, etc. with a professional, courteous, and respectful demeanor at all times
- Manages visitor badges and maintains appropriate visitor records and sign-in procedures
- Is actively visible in the reception area and always accessible to the customer via phone or instant messaging
- Provides back up support for the Apogee administrative team, works on projects as assigned by your manager and members of the admin team
- Maintains guest registration logs via electronic guest management system
- Schedules, organizes and assists with event and meeting room reservations
- Assists with schedule changes or new information promptly and reliably, following up with the visitor to ensure satisfaction with course of action
- Ensures positive guest/group experience, through personal interaction and attendance at functions or other interactions throughout the day, must be flexible to accommodate irregular and/or extended hours
- Assists with administrative responsibilities, including supply ordering, making sure conference rooms are clean and presentable, guest space or supply closet or other responsibilities as required and requested
- Provides travel assistance, calling cabs, communicating arrival, etc. as needed
- Understands and adheres to all safety and security protocols
- Communicates requests for service, repairs, etc. to building management, follows up to ensure work is completed in a timely manner
Ideal Candidate
- Minimum of 2 years of reception/office administration experience
- Prior work experience having in person interaction with customers, employees, etc. preferred
- Excellent verbal and written communication skills a must
- Organizational and attention to detail skills required
- Computer experience essential including proficiency in Outlook and Word
- Ideal candidate must have a positive attitude and be comfortable providing customer service to a range of visitors and events
- This position requires the candidate to work on-site 5 days per week
- Travel to company meetings at least 2 times per year is required

The anticipated salary range for candidates for this role will be $115,000-$135,000. The final salary offered will depend on several factors, which may include, but is not limited to relevant years of experience, educational background, and geography.
