About the Role
We are seeking a proactive, detail-oriented, and enthusiastic Office Manager to lead the operational heartbeat of our Monks Toronto office. As the first point of contact for our team and visitors, you will be a key player in shaping a welcoming, organized, and collaborative workspace. This role blends traditional office management with culture-building, health and safety leadership, and strategic operational oversight. Responsibilities:
- Open the office at 9:00 am daily, setting a positive tone for the day.
- Perform daily walkthroughs to ensure the workspace is client- and team-ready.
- Manage relationships with vendors, including facilities maintenance, cleaning services, catering, and others, creating a friendly and professional impression.
- Champion our Monks culture by fostering an inclusive and vibrant work environment.
- Ensure the office is well-stocked with essentials like groceries and office supplies
- Welcome new team members with detailed office tours and act as their go-to resource during onboarding.
- Plan and execute onsite and offsite team-building activities, events, and holiday parties.
- Serve as the certified employee representative on the Joint Health & Safety Committee.
- Ensure compliance with health and safety regulations, including implementing initiatives aligned with OHSA standards.
- Manage incoming and outgoing communications, including phones, emails, and mail.
- Manage all office invoices and budgets, monitoring and reconciliation of all office expenses.
- Take on diverse tasks such as arranging key cutting, managing lunch pickups, or running other essential errands as needed.
About YouThe essentials:
- Proven track record in office management, facilities coordination, or a similar role.
- Ability to work from our Toronto Office located near Liberty Village, Monday - Friday, 9 am - 6 pm.
- Excellent organizational and multitasking abilities, strong communication and interpersonal skills, and a proactive problem-solver.
- A natural leader who fosters a positive, inclusive, and engaging workplace culture.
- Comfortable with a dynamic workload and able to adapt to shifting priorities.
- Familiarity with health and safety standards (OHSA compliance is a plus) and financial processes related to office operations.
- Tech-Savvy - Proficient in office tools and systems, with the ability to manage modern workspaces effectively.
