What you'll do:

Office Management (70%)

  • Travel Coordination: Organize travel arrangements for senior leadership, including flights, hotels, and ground transportation, ensuring cost-effectiveness and convenience. Handle last-minute changes efficiently.
  • Event & Engagement Management: Plan and oversee office events, meetings, and team engagements, managing logistics such as venue bookings, catering, and scheduling.
  • Vendor Management: Build and maintain relationships with vendors for office supplies, travel, and other services, ensuring quality standards and cost-effective agreements.
  • Administrative Support: Provide prompt and professional support to internal teams and leadership, ensuring smooth day-to-day office operations.
  • Calendar and Scheduling: Oversee scheduling of engagements and events, ensuring timely and organized execution.

IT Management (30%)

  • System Deployment & Maintenance: Oversee the installation, configuration, and maintenance of PCs, peripherals, and software, ensuring compliance with IT standards.
  • IT Inventory Management: Maintain an accurate inventory of hardware and software and manage systems using tools like Microsoft Intune and Google Workspace.
  • Technical Support: Provide rapid response IT support for on-site and remote employees, resolving hardware/software issues and maintaining optimal IT infrastructure.
  • Network and Security: Assist in the management of networks, VPNs, and security systems, ensuring robust protection of company resources.
  • Integration & Projects: Support IT projects, including system upgrades and integration of new technologies, tracking goals and evaluating their success.

What you'll need:

  • Office Management Skills: Proficiency in vendor management, event planning, and travel coordination, with a keen eye for detail and organizational efficiency.
  • Technical Expertise: Strong knowledge of Windows, MacOS, and Google Workspace, with familiarity in SaaS applications, Active Directory, and networking principles.
  • Communication & Accountability: Excellent communication skills with the ability to respond promptly and professionally to internal and external stakeholders.
  • Proactive & Adaptable: Enthusiastic, resourceful, and capable of managing multiple tasks with a proactive approach.
  • IT Knowledge: Hands-on experience with IT infrastructure, security systems, and software deployment, with Cisco certification or network administration experience being a plus.
  • Problem-Solving Skills: Strong analytical and troubleshooting skills to address both administrative and IT-related challenges effectively.
