The Job

We’re seeking an energetic and motivated Office Coordinator who will oversee the workplace, create a positive and productive atmosphere, and drive the office culture. The Office Coordinator will create a supportive environment where staff can grow and expand their impact.

 

Responsibilities

  • Plans and coordinates office-wide processes such as facilities maintenance, space planning, moves, equipment installations, office lunch and snack programs, and other events or projects with internal and external stakeholders.
  • Oversee and maintain relationships with vendors, service providers, and building management.
  • Oversees inventory and places orders for office equipment, supplies, or provisions.
  • Processes mail, invoices, employee expense reports, reimbursements, and petty cash.
  • Support HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects.
  • Perform company database or system administration tasks, including data input, reporting, user support, and upgrades.
  • Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions.
  • Coordinate events and group meetings, including invitations, logistics, catering, and execution at designated locations.
  • Facilitate décor, ornamentation, and cleaning for all common areas within the office.
  • Lead the office as the culture champion and driver.
  • Build strong relationships with office management and team.
  • Foster open, respectful, and professional communication directly within the team, with co-workers/ teammates, and leaders across the organization.
  • Performs other duties as assigned.

Qualifications

  • A High School Diploma or equivalent is required. Associate’s degree preferred.
  • 3 years of experience supporting a professional workplace environment required.
  • Advanced Word, Excel, PowerPoint, Outlook, and Slack knowledge is required.
  • Experience working with senior leadership is preferred.
  • Strong written and verbal communication skills.
  • Track record of working in an environment that requires agility, speed, and sound judgment with little or no guidance.

On-Site: Miami, FL

Travel

Minimal travel may be required as needed.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, and smartphones. 

Physical Demands

While performing the duties of this job, the employee is frequently required to sit, stand, walk, use hands, and lift up to 20 pounds.  

Position Type/ Expected Hours of Work

This is a full-time, onsite position. General hours and days of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. some nights and weekends may be required.
