We have an exciting opportunity for an Office Assistant to join our HUB24 business on a permanent full-time basis.
This role will sit in our HUB office in Melbourne CBD 5 days per week with some flexibility offered when required. An excellent opportunity for someone who is interested in doing a little more than a traditional office assistant position. In addition to the traditional office coordination, you will also have the opportunity to be crossed trained in Corporate Actions. Come be the face of HUB24 and help us create an awesome experience for our employees!
Office Administration Duties:
- Daily management of all inward and outward mail, including Post Box Collection, mail distribution and nightly preparation for collection.
- Daily management of the office, including keeping all areas of the office neat and tidy, dishwasher, printer stationery and maintenance, ordering stationery and other office requirements including groceries.
- Completing ad-hoc task assigned by the General Manager of Non-Custody Operations.
- Management of all inward mail, including opening, sorting, scanning, checking and filing electronically.
Cross Training with the Corporate Actions Team:
- Learning key corporate action functions including but not limited to balancing and allocation of income and applying elective events.
- Investigate where necessary any discrepancies & either resolve or escalate.
- Advise & monitor notifications of elections to custodians / counterparties.
- Lodging registry services documentation to domestic and international registries / taxation authorities.
Skills and Performance Assessment:
- Highly focused, organised and self-directed
- Superior communication and presentation skills
- Ability to build and maintain rapport with clientele
- High degree of accuracy and attention to detail
- An enthusiastic, motivated and professional approach to work
- Team player who can work autonomously
- Ideally tertiary qualifications or study in a financial services related discipline (not a deal breaker)
