Your Impact
The Office Administrator plays a vital role in managing the daily administrative tasks and ensuring the efficient organisation of documentation on site. Serving as one of the primary liaison team members between all department staff and stakeholders—including clients, subcontractors, suppliers, and the internal Finance team—this position is essential in maintaining seamless communication, documentation, organisation and workflow.
What You’ll Do
In addition to the above, your key responsibilities will include:
- Attend weekly resource and management meetings, liaising with project teams, taking minutes, and following up on actions.
- Manage training records and advise the Maintenance Manager on upcoming training needs for team members.
- Oversee stock control and equipment tracking, ensuring proper procedures are followed and records (e.g. equipment master lists) remain accurate.
- Handle daily administrative tasks and documentation management via SharePoint, ensuring smooth operations.
- Support BULK submissions and assist with invoicing and supplier accounts using the NetSuite system.
- Stay informed on Parliamentary rules and procedures, sharing updates with the team through toolbox talks.
- Help plan team events, coordinate meeting room bookings, and assist with certifications and accreditations as required.
- Provide occasional coverage for the Operations Coordinator and take on any additional duties assigned by the Operations Director.
What You'll Bring
To succeed in this role, you'll need:
- Proven experience in office administration, with strong scheduling and data entry skills.
- Proficient in Microsoft Office applications; knowledge of safety standards or industry regulations is a plus.
- Qualifications or training in Business Administration, Office Management, or Communications are beneficial but not essential.
- Strong interpersonal and communication skills, with the ability to engage effectively at all levels.
- Highly organised with excellent time management skills and the ability to prioritise tasks independently.
- Detail-oriented with a high level of accuracy in all aspects of work.
- A team player who is also confident working independently when needed.
- Enthusiastic, self-motivated, and eager to learn new skills and develop professionally.
