Join our team as an Office Admin and make a real impact from day one! In this role, your administrative, facilities, people and relationship skills will support the daily experience for our hybrid team. We are looking for an enthusiastic, self-motivated admin who has strong organizational, communication, and project management skills. 
***The Office Admin role is Monday - Friday in office***

What you’ll do at Avant:

  • Act as an Avant ambassador welcoming Avantees and checking in visitors

  • Manage day-to-day operations of the office including general reception and deliveries 

  • Support facilities and maintenance work, conducting daily walkthroughs of office space ensuring everything is in working order and addressing any issues that arise 

  • Liaise with external vendors to obtain quotes, schedule routine inspections, complete reports, and ensure that our office is in optimal order

  • Review work orders to validate that assignments are completed, submitting invoices to accounts payable where necessary

  • Manage the daily upkeep of the corporate office (i.e. coffee machine maintenance, conference rooms, stocking conference and snack rooms, resolve maintenance issues, tracking inventory and ordering supplies, etc.)

  • Support building and office safety and compliance protocols, liaising with cross-functional teams and/or external parties on procedures, updates, and ensuring appropriate communication to employees where appropriate

  • Assist with planning and coordinating internal and company-sponsored events, award distribution, and other engagement activities for onsite and remote employees

  • Manage and process all daily incoming and outgoing mail, packages, and check runs; timely routing to the appropriate Business Owners for follow-up

  • Support the maintenance of mailroom equipment, such as postage machines and mail sorters

  • Perform other responsibilities as assigned

  • Minimum 2-5 years of experience in office administration and facilities management

  • Strong time-management, project, and organization skills 

  • Reliable and professional team player with high degree of flexibility to adapt to shifting priorities

  • Positive ‘can-do’ attitude with a willingness to take initiative to solve problems

  • Strong verbal/written communication, collaboration and people skills; customer service experience a plus

  • Proficiency with office applications, including Google Workspace (Sheets, Docs, Slides)

  • Ability to work in the Chicago office 5 days a week

  • Proactive and solution based with strong ability to problem solve

  • Ability to maintain confidentiality of company information

  • Ability to lift 30lbs 

Preferred Qualifications:

  • Notary preferred 

This role is based on our downtown Chicago Office, located in the Merchandise Mart. We highly value collaboration and our hybrid schedule (M, T, Th in-office) enables flexibility to balance work and individual priorities.

Compensation Range:

The base salary range for this job is USD $50,000 - USD $65,000 / Year

Employees new to Avant typically come in below the midpoint of the pay range. The compensation range is based on the level outlined in the job posting, and compensation decisions are dependent on each applicant's experience, skills and abilities.

This role is eligible for additional incentives, including an annual bonus. These rewards are allocated based on level, impact and performance in the role.

Hybrid Workspace

Employees engage in a combination of remote and on-site work.

Avantees work from our office Mon/Tues/Thurs. We hold the majority of our meetings & all-company events (Town Hall, Demo Day) on those days so that we can maximize our in-office time together. On Weds/Fri, many Avantees choose to work from home.
