About the role

The Office Assistant, located on site, plays an important role in managing administrative activity at the office/site. Often reporting into a Senior Assistant or Local General Manager and ensures smooth running of the office.

Key responsibilities

  • Office/reception duties as necessary
  • Often first point of contact for external visitors
  • Supporting with the logistics for visitors, conferences and events, including catering, whilst adhering to the meetings policies, collaborating closely with internal/external parties.
  • Support with invoices and raising purchase orders as required
  • Act as a buddy to new starters in the office, guiding them through processes and systems.
  • Maintaining documents and filing, as required locally
  • Manage day to day reminders of site relevant activities and communication to the site. (i.e. surveys, newsletters site related training)
  • Fleet management & logistics for the office/site
  • Arranging the return of laptops and office equipment
  • Liaise with other team assistants to ensure alignment on activities.

Qualifications and skills

  • Proven track record in effective communication
  • Able to work at pace, navigate complexity and solve problems.
  • Good communication skills, awareness of interdepartmental relationships and ways of working.
  • Confidentiality, recognising the level of stakeholder interaction within the role
  • Good IT skills including advanced Microsoft Office application usage.
  • Strong organisational and administration skills.
  • Ability to prioritise workload, working with tight deadlines whilst maintaining an excellent eye for detail.
