Site Operations Department
The Site Operations Department is responsible for the overall health of all mechanical and electrical systems, building maintenance, and performance of all data modules in our data centers. The team is staffed 24 x 7 onsite with Critical Facilities Engineers (CFEs) working on shift. This team is the face of Vantage to our customers and the guaranty of business continuity and excellence of Operations of our campus as well as the performance of our customer installations. Using a Computerized Maintenance Management System (CMMS) to plan and track maintenance activities, the Site Operations department is responsible for all preventative and corrective maintenance. Position Description
The Critical Facility Engineering team plays a crucial role in maintaining the overall health of our infrastructure systems to ensure that our customers receive best-in-class data center services. The Manager Chief Engineer is responsible for a Data Centre site and it’s team of Critical Facility engineers who are responsible for managing vital electrical and mechanical infrastructure operations. This includes capacity management, performance optimization, and responding to, troubleshooting, and effecting repairs when unplanned events occur. The provision of best-in-class service requires expertise in mission critical facility management, including change management, event management, incident management, and problem resolution.
Essential Job Functions:
- Maintain a high level of quality by making sure the team is proficient in planning, preparing, performing, and reporting on maintenance activities.
- Ensure the Critical Facilities team maintains fully reliable infrastructure, emphasizing energy efficiency, continuity of services, and budgetary constraints.
- Ensure that members of the Critical Facilities team are using monitoring systems and performing regular site inspections to always maintain ongoing surveillance of the site.
- Oversee Critical Facilities team workflow/work orders, training plans, event planning, customer communication, hiring, and performance management for the site team.
- Provide guidance to the team regarding the more challenging aspects of maintenance such as: critical MOP development, testing plans, sparing methods, capital planning, replacement at end of life and expansion of existing facilities, while eliminating risk to our customers and their businesses.
- Oversee and execute daily engineering and operations functions at the facility to ensure safe and effective operation of all equipment.
- Promote a team-oriented environment through positive feedback as necessary.
- Hold employees accountable for preventive/corrective maintenance of facility equipment.
- Ensure positive customer experiences by maintaining a customer-focused Critical Facility team.
Duties include but not limited to
- Provide and ensure emergency standby duty is in place for 24-hour, 7 day a week mission-critical data center operation.
- Ensure all workers adhere to VDC safety policies and utilise appropriate PPE in all activities undertaken onsite.
- Ensure all physical processes and activities performed by the team are followed in accordance with Vantage's Mission Critical Facility work rules and approved procedures.
- Review and approve the electrical solutions and switching operations to be performed by the onsite team for both planned and unplanned events.
- Report and escalate discrepancies and trends in the facility's condition, including power availability, temperature and humidity, alarm status, and ensure prompt mitigation measures is undertaken.
- Ensure the onsite Team is provided with approved Methods of Procedures (MOP), Standards of Operation (SOP), Emergency Operations Procedures (EOP) and Emergency Response Procedures (ERP) as required.
- Manage periodic technical and quality reviews of all MOPs, SOPs, EOPs and ERPs to ensure that the most current techniques and safety guidelines are used as well as compliance with all government regulations.
- Monitor and report on installed, utilised, and actual infrastructure load capacity to ensure there is no overload between primary and secondary sources during failovers.
- Ensure that contractors follow approved MOPS and VDC site rules, monitored by Vantage's Critical Facilities team during maintenance activities.
- Ensure the team develop a comprehensive understanding of the engineering and operational aspects of the building systems, can recognize deficiencies in performance immediately, and effectively respond to any operational and emergency condition.
- Ensure periodic crisis management drills are performed by the Critical Facilities team and their competency in responding to unplanned changes of state is being measured.
- Confirm operations and technical compliance audit findings are accurate and ensure improvements are completed in a timely manner.
- Review and report on the environmental efficiency of the site (i.e., PUE, WUE, etc) and take action to address deficiencies.
- Work closely with the Construction team to confirm planned construction activities will not negatively impact operations and where the Critical Facilities team will participate in commissioning activities. Ensure that all construction defects are being promptly addressed by Construction.
- Affirm the scope of work provided by the contractor for planned and corrective maintenance tasks and ensure compliance with VDC standards and requirements.
- Ensure the team adhere to maintenance workflows and spare part inventory updates are being managed to global standards through an internal CMMS.
- Take steps to ensure availability targets for data centers and technical infrastructure across all Vantage Data Center facilities are being met or remediated by the team.
- Manage and review contractor performance periodically to ensure the contractor's performance is in accordance with VDC requirements and standards.
- Provide any other services necessary to maintain and operate all mission-critical infrastructure as approved and required by VDC.
- Review and approve Change Records, Work Orders, Service Plan Events and ensure associated schedules for upcoming planned work are in place.
- Review and provide approval for prepared corrective actions and oversee implementation.
- Ensure training and tracking of the team's competency demonstrates skill development with visible evidence of competency in VDC operational requirements and procedures.
- Prepare proposals for planned and corrective projects containing technical assessments, equipment indications and negotiated contractor cost options.
- Lead post-event reviews to determine root causes, evaluate lessons learned, and implement mitigation and remediation activities.
- Ensure completion of site-specific preventive maintenance and work orders is achieved within advised global SLAs.
- Provide technical leadership and provide technical support to the Team during any critical incident that occurs.
- Manage contracted service work at the facility, including understanding and developing the scope of service, bidding, awarding, and administering any contracts.
- Maintain an adequate supply of tools and other supplies for operating the facility. Ensure that all vendor service reports are collected and generated detailing all activities performed at the facility (preventive maintenance, repairs, etc.).
- Evaluate performance of Facility tools and systems used by Critical Facilities and suggest cost-effective improvements to improve service and operating efficiency.
- Ensure major projects are approved to proceed and are planned, executed, and closed out in accordance with VDC processes.
- Provide annual operational and capital expenditure estimates for parts, equipment, consumables, installations, and repairs for input to budgets.
Requirements:
- Bachelor’s degree in engineering, business or related field, or equivalent work experience required.
- 5+ years of experience in facility/plant engineering and maintenance supervision
- Possess registered Local Government certification to perform electrical switching and/or mechanical services operations.
- 3+ years of experience in management position with 5 or more direct reports
- Proven record of excellent internal and external customer service
- Managing preventive and corrective maintenance activities undertaken by vendors and staff
- Experienced in the process of locking out / making installations safe after incidents.
- Knowledge and experience in resetting circuit breakers in electrical equipment.
- Maintaining governance of a site through readings and measurements on equipment and directing corrective action as needed
- Leading teams by example and encourage process improvement.
- Developing the team’s problem solving and analytical skills
- Skills in Microsoft Office applications (Word, Excel, PowerPoint, Project) and other office applications
- Ability to understand building automation systems (BMS/CMMS), and proficiency in design and technical documentation applications (AutoCAD, Bluebeam, Procore)
- Prior experience with ISO and OHS/EHS control processes considered advantageous.
- Possess reliable transportation for reporting to work for shifts or responding to emergencies.
- Demonstrate strong verbal and written communication skills, demonstrated report writing, attention to detail and complex organizational skills.
- Strong judgment and instincts with skills to lead and develop the team.
- Able to prioritize in complex, fast-paced environment and establish pathways to deliver
- Experience in supervisory and leadership development
