About the Department:

With over 100 colleagues, the General Management (GM) team exists to propel GBS's growth by attracting and developing talent for the future, creating a best-in-class employee experience, delivering high levels of compliance, and creating an environment where GBS can put its best foot forward. The GM Business Support team enables the CVP to manage his time, be prepared to make decisions, lead the GM & GBS teams, and to focus on the key priorities that impact GBS and the whole of Novo Nordisk.
The Position:
As a Management Assistant to the CVP at Novo Nordisk GBS, you will work closely with the CVP to manage internal and external priorities, handle expenses, and make travel arrangements by owning and organising the CVP's calendar, meetings, and travels. You will be responsible for coordination of internal and external meetings/ events, assisting in audits/inspections, and take on ad-hoc assignments to contribute to GBS-level events. You will also be expected to coordinate with global and local networks of assistants, manage GBS working groups, and facilitate easy flow of information across the management team.
Additionally, you will be responsible for:

  • Providing administrative support to the GBS General Management and Leadership Teams by handling the scheduling, logistics, and coordination of meetings/ training/ events.
  • Drive GBS General Management team meetings, managing the performance board, agenda, minute-taking, follow-up on actions, and reporting.
  • Ensure proactive calendar management for the GBS Management Team, coordinating team meetings and key events in advance. Work with GBS Management team Assistants to ensure meetings and events are booked and managed proactively.
  • Oversee local records management, ensuring compliance with procedures for archiving job descriptions, CVs, and Business Ethics COI declarations. Handle Local Records Management for General Management, ensuring documents are archived according to procedures.
  • Manage GBS-level working groups and lead the GBS Personal Assistant network, driving information flow, knowledge sharing, and compliance.


Qualifications :
We are looking for candidates who possess:

  • MBA from a Tier I or Tier II institute with 0-24 months of relevant corporate experience.
  • Strong stakeholder management skills
  • Excellent written and verbal communication to effectively communicate with leaders and external parties.
  • Familiarity with vendor management processes.
  • Proven experience in organizing, coordinating, and planning events or meetings.
  • Proficient in using the Microsoft Office suite.
