Flow Traders is looking for an enthusiastic Assistant to join our dynamic Legal team and provide essential administrative support to a team of eight legal professionals. The ideal candidate has a proactive attitude and the ability to take ownership of administrative tasks. Prior legal experience or legal education is not a requirement. This position offers an opportunity to collaborate with various departments in a leading proprietary trading firm with an entrepreneurial and innovative culture at the heart of its business.
What you will do
- Manage day-to-day contract execution and filing processes such as preparing final versions of legal documents, organizing execution logistics and necessary formalities, checking that contracts have been accurately executed, distributing to appropriate parties, and archiving
- Manage and distribute the workload of the legal team, making sure that all incoming requests are picked up by team members
- Maintain the legal document management system and ticketing system
- Assist with the corporate housekeeping of Flow Traders’ group entities such as preparing administrative documentation, requesting certifications and legalization of documents, liaising with and managing the corporate services providers and notary, ensuring necessary filings and other requirements for good corporate standing are complied with
- Serve as a point of contact between the legal team and other departments within the company, managing all administrative requests, and providing updates and information about request statuses and entity details
- Organize team meetings and manage the team's agenda
- Handle inbound and outbound correspondence by post and invoices
- Take a proactive role in identifying and putting in place further efficiencies in relation to the tasks above, including drawing up and maintaining standard procedures and work instructions
What you need to succeed
- Proficient English communication skills, both written and spoken
- Pro-active and flexible personality and the ability to work with deadlines and prioritize on a continuous basis
- Excellent organizational skills in addition to a structured mindset
- Strong communication and stakeholder management skills
- Autonomous and conscientious mentality with meticulous attention to detail
- Positive mindset and an interest in supporting others
- Previous experience in a Legal Secretary role or similar is a plus
- An affinity with financial markets is plus
- Experience with Jira and Docusign is a plus
- Experience with corporate housekeeping is a plus
