As we continue to grow, we're looking for a skilled Legal Assistant/Contract Administrator to support our operations.

 

About the Role


This role requires managing and organizing client contracts, processing amendments to reflect client service change requests, proactively assessing client files to identify missing, outdated, and required documentation based on current practices and pricing strategies, and taking steps for resolution.


Additional responsibilities include working with the legal team lead to ensure we have current and necessary legal templates to support business operations; and assisting with various contract-related administrative tasks and projects. This role involves using existing templates, making minor changes, assessing and updating client legal files, and helping automate and streamline our legal processes.

This is an in-person role based out of our Sherwood Park, AB office. 

In this role, you will be expected to:

  • Accurately Process Contracts: Processing contracts for new and current clients using existing templates, making minor edits to reflect legal agreements and negotiated terms.
  • Manage Contract Amendments: Handling amendments to client contracts to reflect service changes.
  • Organize Legal Documents: Maintaining and organizing legal documents in SharePoint and proprietary software systems.
  • Ensure File Accuracy and Completeness: Reviewing, assessing, and taking necessary steps to ensure all client files are complete, accurate, and aligned with company pricing strategies, operational practices, and billing systems.
  • Collaborate Across Teams: Working with clients, business development, legal, and accounting teams to gather and assess information for executing required client legal agreements accurately.
  • Support Contract-Related Tasks: Assisting with setting up new client accounts, account closures, and driving process automation to maintain accurate and up-to-date client files.
  • Manage Template Adjustments: Tracking and managing ongoing adjustments to templates and client-specific custom terms.
  • Maintain Legal Playbook: Keeping the legal playbook updated to reflect current practices and procedures.

You might be the right fit if you:

  • Corporate Contract Experience: Having at least 2 years’ experience processing and managing corporate contracts.
  • Comfort with Contracts: Being very comfortable working with corporate contracts.
  • Attention to Detail: Possessing meticulous attention to detail and strong organizational skills.
  • Good Judgment: Consistently exhibiting the judgment needed to confidently and independently amend contract terms, assess client files, identify gaps, and take necessary steps to address them.
  • Proactive Attitude: Having a proactive attitude and the ability to work with limited supervision.
  • Tech-Savvy Skills: Being experienced with software like DocuSign, Microsoft SharePoint, and the Microsoft Office suite.
  • Collaborative Nature: Enjoying working collaboratively with various internal and external stakeholders.
  • Adaptability: Thriving in a fast-paced, dynamic environment and handling multiple projects simultaneously.
  • Strong Communication Skills: Having excellent written and verbal communication skills.
  • Positive Attitude: Consistently displaying a positive attitude.

Bonus points if you have:

  • Invoicing experience.
  • Experience performing client onboarding and offboarding activities.
  • Knowledge of standard contract provisions and experience assessing fit of third-party contracts in lieu of using internal templates
  • Experience using AI in legal processes to improve efficiency
  • Vendor contract management experience, including reviewing terms and identifying risks, concerns or missing provisions that would benefit or better protect the company
