Position Summary: The Leave Specialist manages the process and policies connected to absence and accommodation for Leaf Home employees. Identifies, develops, and implements processes and improvements for the administration of our absence benefits. They provide first-line support to employees and managers, partnering with HRBPs, Legal, Payroll, and Safety as appropriate. They resolve escalated leave situations and lead the interactive process to find reasonable accommodation under the ADA or other applicable laws. This role advises on best practices and compliance practices related to federal, state and local leave and accommodation laws. In addition, this role leads return to work efforts to get associates back to work at the earliest appropriate time consistent with an individual's strengths, abilities, capabilities and limitations.
Essential Duties and Responsibilities:

  • Serve as the primary point of contact for employees regarding their leave of absence, providing compassionate and responsive support, guidance, and clear communication throughout the process. Includes the shared responsibility of monitoring the Benefits email box.
  • Ensure that leave programs and policies are interpreted and administered in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, etc.) and internal company policies. This includes STD/LTD, state-regulated sick plans, and PTO.
  • Serve as the subject matter expert for leave and accommodations in alignment and under the general direction and guidance of management and the legal department.
  • Partner closely with managers on leave cases. Provide status updates and reporting metrics to managers and HRBPs on a regular basis and upon request. De-escalation of LOA-related issues includes identifying opportunities to adjust steps and communication tactics to resolve challenging issues.
  • Serve as the primary contact for internal connections and external vendors for absence-related topics. This includes disability vendors, state agencies, and internal HR/Payroll systems.
  • Partner with the Safety/Risk Department on workers' compensation leaves to ensure that workers' compensation leaves are coordinated with FML when applicable.
  • Monitor benefit premium deductions and payments during employee leave.
  • Performs other duties as assigned by supervisor.


Experience and Minimum Qualifications:

  • Bachelor's degree is preferred, or an equivalent combination of education, training, and experience.
  • 3+ years of experience administering employee leaves.
  • Thorough understanding of applicable absence and accommodation laws.
  • Ability to logically connect ideas, scrutinize and evaluate arguments, find inconsistencies and errors in work, and solve complex problems.
  • Ability to provide timely and empathetic service through all communication channels, keeping peer and customer needs first.
  • Excellent verbal and written communication skills.
  • Proficiency using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Project, and/or Access).
  • Must be legally authorized to work in the country of employment without sponsorship for employment visa status (e.g., H1B status).


Preferred Knowledge, Skills, Abilities, or Certifications:

  • HR related certifications such as PHR, SHRM-CP, etc.

  • Additional hours may be required (exempt positions).


Physical Requirements:

  • Normal office environment.
  • Performs indoor work in a climate-controlled environment.
  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
