Jr. Accounts Receivable Administrator (Available to Vancouver Island Residents Only)

All successful candidates are required to reside within commuting distance of our Langford/Victoria office location. Plexxis does not offer remote work opportunities.

Location: Victoria, BC.

Salary Range: $62,500.00 - $102,245.00

Purpose:

The main purpose of the AR administrator is to perform day to day duties of processing the financial transaction to ensure that finances are maintained in an effective, up to date, and accurate manner. This includes processing and monitoring receivables. Contract management entails entering new client agreements into the database and following through with project status. This role also entails providing administrative and clerical services.

Duties & Responsibilities:

Billing & Collections:

• Maintain listings of all Accounts Receivable
• Creating quotes based on criteria
• Send quote to the client for approval
• Creating invoice once the quote is approved
• Prepare, verify and process invoices using TE Bill and Plexxis to be billed
• Verify that all transactions comply with company and accounting policies and procedures
• Send invoice to the client once work is completed
• Collection calls for payment on outstanding or overdue invoices
• Distribute weekly collections update and forecast
• Receiving payments in Plexxis
• Processing client credit card payments using Moneris payment processing system
• Update cash flow document
• Verifying payment and licensing
• Perform user and service audit for monthly customer support billing
• Adhoc billing as required

Contract Management:

• Receiving signed copies of the contractual agreement Entering agreement into Plexxis database
• Monitoring completion status of the job
• Over or underestimated hours quoted
• Providing Hours Usage Summary document to the client
• Providing Job Completion Update document to the client
• Billing and keeping track of Annual agreements
• Performing user audits
• Update corresponding excel files

Qualifications:

• Exceptional phone communication ability: experienced and comfortable with making collection calls
• Highly organized and diligent: able to keep track, update documents regularly and accurately
• Proficient with Google sheet, variety of software
• Collection experience in the construction industry, Canadian and U.S. companies
