Description:Serves as a point of contact for the IT Product/Service Line. Responsible for defining project, program or initiative scope and objectives; managing cross functional team members and serving as lead consultant. Responsibilities include the overall planning, coordination, implementation, execution, control and completion of projects of low complexity, typically involving individual operating units, and ensuring consistency with company strategy, commitments and goals. Participates in the development, management and monitoring of plans for resources and budgets. Develops effective internal relationships and partnerships with key stakeholders, management, executive leadership and several multi-functional and geographically dispersed work teams by providing them direction, assistance and coordination. Develops communication strategies and executes against established plans across the enterprise.

ESSENTIAL FUNCTIONS

  • Knows, understands, incorporates and demonstrates the Trinity Mission, Vision, and Values in behaviors, practices and decisions.
  • Plans, manages and oversees the life cycle of typically small and medium size projects.
  • Develops, manages and monitors project plans. Identifies and finalizes project scope and objectives, defines team member roles, activities and functional responsibilities. Identifies and documents detailed tasks and timelines.
  • Provides leadership, guidance and serves as a resource in deploying, implementing and adhering to product and project management methodology and techniques. Directs and assures follow-up of action items. Monitors project progress, provides problem resolution and troubleshooting to ensure project deliverables are met and adhere to established methodology. May require assistance from Program Manager on more advanced elements of project methodology, such as change leadership, process improvement and risk management.
  • Provides project status updates through the coordination and preparation of detailed statistical reports to key stakeholders, management and leadership. Compiles and analyzes data; prepares written summaries and presentations which address project scope, timetable, and expected deliverables. Develops, monitors and manages project budget (i.e., analysis, reconciliation, forecasting, expenditure authorization, resource requirements, value management, tracking and reporting) as required by EPMO operations.
  • Plans team members' work across the organization and assigns tasks while monitoring progress, generally in a matrix work environment.
  • Manages problem resolution and risk mitigation. Seeks assistance and guidance for options and solutions regarding complex issues when appropriate.
  • Ensures customers are actively engaged throughout the project life cycle. Works with customers to ensure business workflows, training and communication plans are completed. Provides appropriate tools, training, guidance and necessary resources to resolve problems, avert potential risks and maintain customer engagement. Seeks assistance from senior team member in responding to potential complex issues and risks.
  • Keeps business sponsors, Program leadership, and project teams apprised through routine communications, reports and status meetings to ensure project plans and deliverables are met; potential risks are identified and resolved, and customer expectations are reached.
  • Facilitates and participates in meetings with business owners, key stakeholders and TMO colleagues through each phase of the project life cycle.
  • Analyzes business needs, requirements and provides guidance to management and key decision-makers in determining selection of appropriate support to meet business needs, strategic goals and alignment with Trinity Health standards.
  • Conducts post project analysis. Meets with business owners to conduct project closure activities. Prepares outstanding issues and lessons learned documentation. Closes out project related tracking systems and transition project over to operational status if needed.
  • In collaboration with the Product and Program Manager and working with Supply Chain and other stakeholders, responsible for ensuring vendor and consultant agreements are consistent with the objectives, scope and budget of the project. Manages completion of vendor and consultant deliverables in alignment with signed agreements.
  • Maintains a working knowledge of applicable Federal, State and local laws/regulations; the Trinity Health Integrity and Compliance Program and Code of Conduct; as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior.

MINIMUM QUALIFICATIONS

  • Bachelor's degree in healthcare, information technology, business administration or a related field, and a minimum of seven (7) years of consulting or relevant leadership experience, or an equivalent combination of education and experience. Foundational knowledge of IT operations or IT project management required. Master's degree and people management experience preferred.
  • Proficient knowledge in five or more (5+) business operations disciplines and supported business processes, with expert level knowledge in at least three disciplines. Business operations disciplines include, but are not limited to, financial management, contract performance management, process improvement, vendor management and change leadership.
  • Ability to exercise judgment in meeting reasonable expectations, particularly when differences of opinion on needs and services, unanticipated contingencies or divergent ideas and perspectives exist. Excellent leadership, organization, integration and execution skills and abilities. Strong experience in planning, formulating and executing strategies, as well as the ability to define program, process or business objectives and scope. Demonstrated proficiency and expertise to identify, evaluate and articulate operational opportunities, business needs and gaps, plan and implement steps, understand stakeholder interest and provide authoritative consultation.
  • Excellent interpersonal, consultative and relationship building skills in order to initiate and develop productive working partnerships with all levels of management/leadership and staff along with effective vendor interface/management experience. Ability to effectively facilitate teams/groups of people and influence people through strong leadership, communication and negotiation skills. Ability to influence results, garner support and tactfully manage complex relationships and influences within and across the organization. Ability to read the subtle nuances of situations and react/plan accordingly. Excellent oral and written communication, persuasion and negotiation skills in order to translate technical matters to clinical and operations staff and vice versa, to facilitate communication between diverse groups, to effectively identify, assess and facilitate improvements and resolutions and to present advisory, persuasive and authoritative recommendations to all levels of the organization.
  • Must possess a willingness to learn and develop skills, as well as give and receive constructive feedback.
  • Demonstrated ability to lead in an ambiguous and highly collaborative, matrixed organizational structure. Minimum three (3) years of formal or informal leadership experience in a highly autonomous self-directed manner under frequently changing structures, requirements and work priorities.
  • Certification in PX Essentials and Root Cause Analysis training, or equivalent, required. Enrollment and completion of A3 Thinking for Leaders certification, or equivalent, completed within first twelve (12) months in this role. Lean Six Sigma Green Belt preferred. Lean Six Sigma Green Belt or equivalent preferred.
  • Must be comfortable operating in a collaborative, shared leadership environment.
  • Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of Trinity Health.

PHYSICAL AND MENTAL REQUIREMENTS AND WORKING CONDITIONS

  • Must be able to set and organize own work priorities and adapt to them as they change frequently. Must be able to work concurrently on a variety of tasks/projects in an environment that may be stressful with individuals having diverse personalities and work styles. 
  • Must be able to travel to the various Trinity Health sites (10%) as needed.
  • Must possess the ability to comply with Trinity Health policies and procedures.
