Strategy, Portfolio & Operations (SPO) is a newly built function that aims to encompass several business partner functions for pRED including strategy, portfolio, program and project management office, clinical operations, sites and laboratory management, capability development, and external operations. SPO’s mission is to deliver excellence in operations, ensure patient centricity, and enable high-quality decision-making. As a trusted partner across pRED, SPO contributes to pRED’s research and development excellence.
Why we need you:
The networks of contractual relationships between external professionals, providers, and research organizations have become increasingly complex. To keep pace with ever-changing legal and financial obligations, we are looking to recruit an intern to support our chapter and its capabilities/services.
The Intern’s task is to support the External Operations Chapter with the thorough, appropriate, and timely support of contracts. This includes management of the contract life-cycle, maintaining the related database as required, helping with the development of specific standards for monitoring, and maintaining contract content, including document management and assisting in the tracking of contracts. The role requires close collaboration with all the colleagues from the External Operations Chapter, but also with other functions (e.g. Group Legal, Finance, Procurement, etc.).
Upon gaining experience, you will be entrusted with a distinct individual project. Throughout this journey, you'll receive dedicated mentorship from a seasoned Chapter member, ensuring you have the guidance and support to excel and innovate.
Your challenges in the internship:

Track and administer all records related to pRED contracts within centralized databases, including the collection and organization of documentation/reference materials

Maintain and curate pRED’s databases, ensuring alignment with contractual details; Remediate as appropriate

Ensure compliant negotiation and finalization of all assigned contracts. This includes collaborating with the Group Legal department, communicating with internal stakeholders, and mailing original contracts to third-party

Work closely with Legal/Compliance departments to ensure compliance with regulations, laws, ethical practices, company policies, highlight issues, and resolve conflicts

Beyond awareness and business understanding of standard contracts, assume end-to-end oversight and delivery of confidentiality, speaker, consultancy, and material transfer agreements

Maintain and update guidance documents as necessary

Act as a point of contact and work in close collaboration with the pRED Purchasing Coordination team for purchase order creation, vendor opening, and invoice reconciliation

Suggest and implement process improvements in their area of expertise
Who you are:

You must be enrolled in a Masters Program.

You must be enrolled in an active Business, Administrative, or Legal Studies (or similar) Program. Please indicate clearly at what date you graduated from university in your motivation letter or CV, if you have done so already

Fluent in written and spoken English (other languages are an asset)

Basic knowledge of contracting concepts

A confident self-starter, with the ability to work independently and take initiative where required

A flexible approach to coordinate demanding workloads and the ability to adapt to changes, prioritize your efforts to accomplish a variety of tasks within the deadlines

Knowledge of Microsoft Office tools; knowledge of Google Suite is a plus

The internship will take place in Basel, Switzerland.
The preferred start date of the internship is April 2025 or upon availability for 12 months. Please clearly indicate your preferred starting date and duration of the internship in your motivation letter. Applications need to include a CV and a motivation letter, both merged in one document.
This internship is not suitable for a Master's thesis.
