About the Team:

Our Insurance Services Team supports our Wealth Advisors and clients with accurate, timely, and expert insurance knowledge and administrative services. With an increased focus on insurance planning, this team is expected to grow over the coming years.   

Purpose of the Role:

As an Insurance Operations Specialist, your primary role is to provide exceptional support to internal stakeholders, clients, and insurance carriers. You will be responsible for driving internal projects, managing stakeholder communications, and coordinating operational tasks to ensure efficient workflows. In collaboration with internal teams, you will create and deliver insurance education for Advisors and execute training for internal employees, including onboarding new members to the insurance team. With a keen eye for detail and a passion for process efficiency, you will prioritize tasks in a dynamic, fast-paced, and deadline-driven environment while consistently maintaining a professional demeanor. Additionally, you will leverage your familiarity with insurance regulations to ensure compliance and best practices. 

Core Responsibilities:

  • Oversee governance and access management for carrier portals used by Advisory Services.  
  • Support and track escalations related to Insurance Services and carrier interactions.  
  • Manage Private Wealth communications related to insurance carriers, including:  
    • Annual Apexa contract updates.  
    • Carrier notices related to products, bonus programs, initiatives, and CE credit webinars.  
  • Administer carrier compensation programs, including:  
    • Tracking of compensation details and program changes.  
    • Collaborating with the Data, Reporting, and Analytics Specialist to manage and ensure accuracy of reporting.  
  • Maintain up-to-date carrier contact information sheets.  
  • Coordinate and manage onboarding and offboarding activities for Advisory Services employees, including:  
    • Licensing, contracting, and Apexa administration, in collaboration with the Nicola Compliance team. 
    • Carrier portal access setup and support.  
  • Support insurance-related training, development, and education, including:  
    • Coordinating insurance new hire onboarding sessions.  
    • Delivering select insurance new hire training sessions.  
    • Creating and maintaining Standard Operating Procedures.  
    • Coordinating internal and external presenters.  
    • Supporting the delivery of all Insurance Education initiatives.  
  • Creation and maintenance of the insurance related content on the Insurance Services and Private Wealth SharePoint sites, ensuring all content is current and accessible. 
  • Maintain the licensing and contracting tracker in partnership with the Licensing and Registration team  
  • Support the execution of special projects, including implementation activities and associated training and development, as needed  
  • Identify, design and implement opportunities or operational efficiency and enhancement across Insurance Services 
  • Other relevant and related responsibilities, as assigned and as the needs of the organization change.

Required Skills & Qualifications:

  • Minimum of 5 years of relevant experience within Insurance Operations role. 
  • LLQP is considered an asset 
  • Commitment to personal growth, with a willingness to acquire new knowledge and skills aligned with the evolving needs of the business 
  • Demonstrated professionalism and discretion, especially when handling sensitive or confidential information 
  • Legally eligible to work in Canada 

Compensation & Benefits Package:

This position comes with a base salary range of $65,000 - $80,000 plus a competitive performance bonus, RRSP contribution and participation in our profit-sharing program. Base salary will be commensurate with experience, skills, and qualifications.
