Job Description
OBJECTIVES/PURPOSE
The ICC Mexico Finance Specialist will play a crucial role in managing and overseeing various financial activities of a newly established Mexican legal entity, establishing and maintaining an environment of high-quality financial control and ensuring compliance with internal and external financial regulations. This position involves working closely with Finance colleagues across Takeda, in support of auditing, reporting, intercompany services, and vendor management to maintain financial accuracy and efficiency for ICC Mexico. The specialist will collaborate with various departments to optimize financial processes, reporting, and budgeting.
KEY RESPONSIBILITIES
- Management and oversight of financial books of newly established Mexican legal entity, including policy adherence and period end close process.
- Establishing and maintaining an environment of high quality local legal entity financial control
- Act as primary legal entity Finance contact for local stakeholders within and outside of Takeda
- Local management support for all legal entity Finance matters such as financial statement reviews, expense monitoring and cost center management
- Corporate Tools Management: Access and utilize various platforms to obtain budgets, actuals, and track Full-Time Equivalents (FTE) for internal monitoring.
- Audit Working Papers: Prepare and reconcile payroll documentation for audit purposes, specifically for KPMG.
- Data Accrual Solutions: Track purchase orders and manage invoice registrations, ensuring accuracy and compliance with global KPIs.
- Intercompany Services: Monitor and check calculations related to intercompany services, ensuring accurate tracking of invoices.
- Monthly FTE Analysis: Maintain a matrix of headcount versus plan, tracking actuals against the last approved budget.
- Vendor Management: Serve as a local support and focal point between vendors and the TBS, managing vendor communications and registrations.
- Invoice Tracking: Collaborate with local users to ensure accurate invoice registration and address any inquiries.
- SAP Tool Management: Monitor and correct employee information related to reimbursements and manage vendor/creditor tracking.
- Financial Calculations: Estimate earnings before interest and tax for local tax purposes.
- Statutory Financial Statements: Review and monitor financial statement registrations, providing status reports to the ICC Mexico Head.
- Payroll and Severance Posting: Prepare and send payroll-related accruals and provisions to TBS in the required format.
- Training and Development: Conduct training sessions on various financial processes and tools.
- Manage financial records and ensure timely submission of financial reports.
- Collaborate with internal teams to ensure compliant financial practices.
- Conduct financial analysis to support decision-making processes.
- Ensure compliance with local and international financial regulations.
- Work closely with the accounting team to streamline operations.
Ad-hoc Activities:
- Manage manual payments for taxes, social security, and other obligations.
- Upload payroll data to CitiDirect and manage severance payments.
- Review pending charges and process corporate card requests.
- Ensure accurate registration and activation of corporate cards.
- Process approvals and registrations in SAP for roles and T-codes.
EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
- Bachelor's degree in Finance, Accounting, or a related field.
- Proven experience 4 - 6 years in financial management and auditing.
- Proficiency in SAP and other financial tools.
- Experience of working in a matrix structure.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a team environment.
- Business fluency in English language mandatory
