The Human Resources Administrative Assistant at GuideStar Eldercare (GSE) handles the daily administrative duties for the Human Resources department, including direct clerical support for all department staff (the General Counsel, CCO & EVP of Corporate Administration, Director of HR, HR Generalist(s), and Coordinator(s)) in the areas of record maintenance, on-boarding/orientation, compliance, meeting preparation, and special projects. Document management and HR process management are key functions of the HR Administrative Assistant. This position is onsite at the Crown Point, IN corporate office Monday through Friday, 8:00 am - 5:00 pm CST.
Essential Job Functions & Responsibilities
- Document management: employee and department file creation, audits and maintenance – both digital and paper files. Expired document tracking and updates; tickler file management. Create and maintain general files, medical files and Form I-9 files. Manage archival of expiring documents and termed files. Organize and maintain HR shared drive.
- Process management: ability to independently take a process, break it down, create a timeline with self-imposed deadlines to on-time completion. Take the lead in providing relevant and timely updates to these processes within the HR department.
- Manage Human Resources email account and calendar.
- Maintain and update HRIS database, FMLA database, and other record keeping systems as requested.
- Assist with functions related to the following processes: onboarding/orientation, credentialing/licensing, terminations, drug screens, COVID-19 testing, background reports and more.
- Assist with preparation for onboarding of new employees.
- Track birthdays and anniversaries; recognition for each according to company policies including monthly office birthday celebration (cake and cards).
- Respond to clinician script pad requests and maintain script pad inventory.
- Provide back-up for the Executive Assistant to the C-Suite as needed for general office support (i.e. kitchen/office supplies).
- Partner with the Executive Assistant to plan and prepare for Corporate events.
- Special projects and other work as assigned.
- Services provided by the HR Assistant shall be performed solely at the Company’s corporate office.
Qualifications:
- Minimum of 1-2 years' experience in an administrative support role, preferably in an HR department.
- Above average to expert level understanding and functioning knowledge of technology including the MS Office Suite.
- Exceptional verbal and written communication skills
- Highly detail-oriented with strong organizational skills
- Impeccable time management skills
- Process management and improvement experience
- Strong document management experience
- Resourcefulness, anticipates needs, forward thinking, proactive, discretion
- Desire to work on a team-oriented and collaborative environment
- Strong customer service skills
- HS Diploma required. Associate’s degree preferred.
- Successfully pass background testing, including motor vehicle record review and drug screening.
- Willingness to work onsite Monday-Friday, 8 am-5 pm CST.
