Position Overview:
The HR Specialist will be based in our Geneva office and report to the HR Manager. The HR Specialist will provide support to our French, Swiss, Spanish and Polish offices (Paris, Geneva, Zug and Madrid) about 130 employees, and be part of a global team.
- Support the employee life cycle; on-boarding, off-boarding, leave management, transfers, etc.
- Maintain accurate online records of employee information in our HRIS
- Prepare payroll input file for 3 regions, ensure accurate submissions and work closely with our team of payroll specialists.
- Act as a direct HR point of contact for employees queries related to various HR processes
- Support all the employee onboarding tasks; welcome emails, personal detail collection, arrange account creation
- Communicate and coordinate with new employees, from background screenings to first day paperwork and address new employee questions and requests in a timely manner
- Support offboarding process from resignation to final day; resignation acknowledgement emails, arrange account suspension/deletion, maintain employee files
- Support immigration process in close collaboration with our move management team : working with our third-party immigration law firm to coordinate visa applications (employment visa and travel visa), issue Company letters and track progress
- Monitor the HR EMEA inbox, to ensure timely response to inquiries
- Issue employment confirmation letters and reference requests
- Collaborate with global HR team members across regions
- Participate in global projects where needed
Required Qualifications
- Bachelor’s degree or equivalent with a minimum of 5 years’ generalist experience required
- Hands on experience with payroll
- Experience with Workday (ideal but not required)
- Fluent in French and English
- Exposure and support of immigration preferred
- Occasional travelling is required (Spain, France, Switzerland)
- Solution-focused problem solver with the ability to think critically and independently
- Strong prioritization and time management skills
- Self-motivated and disciplined individual with analytical skills
- Strong interpersonal skills with ability to effectively interact with all levels within the organization
- Strong team spirit and very strong adaptability and flexibility capacities are necessary to succeed in this position
