Position Summary 

The HR Operations Specialist will be responsible for managing all day-to-day payroll functions, including accurately processing multi-state payroll, FLSA calculations, payroll tax compliance, working closely with the Finance department to produce timely payroll reports, and assisting the HR (Human Resources) Team as needed. The incumbent is the primary point of contact for all payroll-related topics, including policy translation, HRIS-related issues and maintaining required audit data.   

 

Key Responsibilities 

  • Prepare, review, and complete bi-weekly multi-state payroll accurately and timely in our HRIS (Workday). 

  • Inspect automated system output such as registers and standard reports, determining, reconciling, and correcting out-of-balance conditions, ensuring approval for the settlement of payroll is obtained. 

  • Ability to produce and reconcile advanced general ledger reports.  

  • Perform a variety of compliance audits and processes in accordance with regulatory standards, maintain records, and prepare reports, transactions, and documents, with timely responses to employee inquiries and government agencies.  

  • Lead the quarterly and year-end compliance process in partnership with accounting, including tax returns, state-specific tax compliance, and amendments.  

  • Research and meet all reporting and compliance requirements for garnishments, payroll taxes, income withholding orders, employer contributions, and tax levies. 

  • Ensure submittals are handled accurately and timely to the corresponding TPA.   

  • The primary point of contact for all payroll-related questions and issues. 

  • Support the Benefits team with monthly reconciliation of benefit plans. 

  • Collaborate effectively with the HR team for ongoing projects, audits, testing, and maintenance activities. 

  •  Other duties as assigned. 

 

Qualifications & Experience 

 Basic Qualifications 

  • Bachelor's degree in accounting, business, a related field, or equivalent work experience. 

  • Highly proficient in MS Office and advanced in Excel. 

  • Minimum 5 years of payroll processing experience with knowledge of payroll compliance, federal, state, and local regulations 

  • Experience managing multi-state payroll. 

  • Experience processing payroll within Workday required. 

  • Managed end-to-end payroll for up to 350 employees.

  • Strong analytical skills and capability to collect, research, and resolve issues using a solutions-focused approach. 

  • High ethical standards and ability to maintain a high level of confidentiality. 

  • Demonstrated ability to produce high-quality work with strong attention to detail. 

  • Proven ability to manage multiple projects and priorities effectively to meet deadlines. 

  • Excellent verbal and written communication skills. 

  • ADP experience 

  • Prior experience with project-based, industry services, and IT consulting work.
