JOB FUNCTION
The HR Assistant will provide administrative support to the Head of HR and additional HR team members. This position requires a candidate who is enthusiastic about and excels in a support role. The individual will work collaboratively with other assistants and team members across the firm, including employees based in other offices. This role reports into the Head of HR. Responsibilities may include, but are not limited to:
- End-to-end administrative support: managing calendars for up to 5 team members, processing monthly expenses, picking up phone calls, preparing agendas, printing documents, etc.
- Dynamic, high-volume scheduling: Proactively manage calendars by anticipating and resolving scheduling conflicts or overlaps ensuring accurate attendees, timing, location and whether the meeting should take place in person or virtually.
- Real-time communication: Proactively communicating with all stakeholders to ensure agreement and understanding of meetings and priorities.
- Attention to detail: Ensuring accurate and precise work product and written communication.
- Strategic thinking and judgment: Considering and executing requests and goals with prioritization and a flexible mindset.
- Confidentiality: Working with and safeguarding professional and personal confidential material, displaying the utmost level of discretion.
- Efficiency: Processing requests, continually meeting deadlines and suggesting process improvements.
- Team collaboration: Providing back-up coverage for other HR admins and coordinators as needed.
- Onboarding/offboarding support: Assisting in the onboarding process for new hires, including preparing welcome materials and coordinating orientation schedules.
- Employee engagement: Assist with planning employee engagement activities and HR team events.
- Ad-hoc projects: working on requests and presentations as needed.
QUALIFICATIONS
The ideal candidate will have:
- 5+ years of experience assisting busy, high-performing professionals in the financial services or other comparable fast-paced industry
- An undergraduate degree with a record of academic success
- Strong interpersonal and communication skills
- Meticulous about detail and accuracy; passion for organization
- Proactive problem-solver
- Team-orientation, within and across Viking units
- Strong Microsoft skills; including Outlook, Word, and PowerPoint
