ROLE OVERVIEW
The Grants Administrator supports the management and implementation of all components of grants processing, both from donors (grants‐in) and to grantees (grants‐out). This includes legal and regulatory compliance, collecting and reviewing all grantmaking requirements, data entry and data management, and client service to both internal and external stakeholders.

ROLE ACCOUNTABILITIES


GRANTS ADMINISTRATION
Work within the grants management and client relationship management (CRM) systems to enter, maintain, and retrieve grants‐in and grants‐out‐related data; and ensure the integrity of data present in the grants management and CRM systems, in accordance with data management best practices, funder, legal, and regulatory requirements, and RPA’s internal policies and processes.

GRANTS COMPLIANCE
Conduct due diligence of prospective grantees, including reviewing all grants‐out requests for completeness and adherence to grants management best practices, internal and legal requirements, and IRS regulations, and identifying and securing additional supplemental grant‐related information and materials for new grant recommendations, as needed.

GRANT LIAISON
Reinforce to internal and external stakeholders all current grants management policies and procedures and how they are enacted in the grants management and CRM systems; and serve as a liaison between finance, information technology, legal, sponsored projects and funds, and other administrative functions to ensure all grant‐processing activities are completed smoothly.

COMPLEXITY AND PROBLEM‐SOLVING
• Applies knowledge of the nonprofit sector, specifically fiscal sponsorship; and grants management best practices, including IRS regulations regarding charitable status, donor‐advised funds, expenditure responsibility, equivalency determination, and lobbying to support compliant grantmaking without requiring supervision.
• Works under guidance (but not constant supervision) to analyze data and systems‐usage trends to help inform compliance and technical training offerings.
• Works without supervision when planning, organizing, and prioritizing activities to efficiently meet business objectives.
• Uses clear and effective verbal communication skills when expressing ideas, requesting actions, and informing plans or policies.
• Uses comprehensive knowledge and skills to independently support and motivate employees to learn, grow, and develop so that they can obtain the knowledge and experience they need to help the organization reach its goals.
 

DESIRED QUALIFICATIONS AND EXPERIENCE
• A Bachelor's degree or equivalent work experience is required.
• Proven experience in a grants management capacity at a grantmaking organization (3-5 years).
• Understanding of and experience with complex database functionality, specifically Fluxx and NetSuite, preferred


TRAVEL REQUIREMENTS
• Some travel may be required.

• The role is hybrid, requiring the candidate to be located within a practical commuting range of our New York office.

Compensation & Benefits

Rockefeller Philanthropy Advisors offers a competitive compensation and benefits package including health coverage, retirement benefits, paid sick leave, vacation and holidays, tuition reimbursement and access to professional development resources.

The salary range is one component of the total compensation package for employees.

 

Pay Range: $77,000 - $80,500 salary per year.
