Primary Purpose
The fuel maintenance specialist position is responsible for assisting and supporting overall fuel station maintenance, compliance, testing, risk management and individual site adherence to all State and Federal Underground Storage Tank (UST) operational standards. The position requires an understanding of fuel station equipment, fuel site operations, fuel procurement, risk management and a solid working knowledge of all the regulatory programs in the states in which we operate. This active knowledge base is critical in supporting the maintenance and compliance expectations of both ADUSA's resale (fuel retail outlets) and not-for-resale (banner warehouses) business components.
The fuel maintenance specialist position will assist and support strict adherence to Federal and State regulations specific to underground storage tank (UST) and above ground storage tank (AST) mandated operations. The ADUSA maintenance service model focuses on site by site operational compliance needs and maintaining regulatory program knowledge updates to ensure all customers (resale or NFR) are operating in a safe and compliant environment. The position will be primarily responsible for supporting activities related to fuel retail station vendor contracts (managing and monitoring SLAs), including but not limited to, coordinating environmental compliance testing events, coordinating contract and out-of-contract invoicing and payments, maintaining not-for-retail fuel station supply and small-equipment items within the company's purchase order system, and creating ad-hoc reporting for strategic decision-making by leadership.
The position will additionally function as a liaison, fostering strategic collaboration across cross-functional teams such as Store Mainteancne, Risk Management, Safety, Licesing, Real Estate, and Construction. The position is responsible for ensuring smooth Fuel operations across all resale locations and DC operations ensuring consistent support and effective execution of all related functions.
Our flexible/ hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Quincy, MA, Carlisle, PA, and Hyattsville, MD.

Duties and Responsibilities
- Environmental Compliance Testing. This position will work closely with environmental testing and maintenance vendors to schedule services related to annual environmental testing, facility operator inspections, bi-annual facility inspections and related repairs. This includes coordinating schedules with vendors, maintaining schedule trackers and calendars shared with the Fuel Sourcing team, sending email notifications to store operation teams and RBS operation teams, ensuring all testing failures are corrected or remediated, submitting testing reports to state authorities when needed, and monitoring third-party electronic document retention practices. This supports the fuel Compliance and Risk Management program.
- Maintenance and Repairs. This position will work closely with our maintenance vendors, store operations teams and fuel specialists to coordinate repairs to the underground storage tank systems and ancillary equipment at all retail fuel stations. This includes monitoring service tickets, responding to inquiries by store operations teams and fuel specialists, communicating with service providers, and tracking all activities for ad-hoc reporting to leadership for strategic decision making. This supports the Underground Storage Tank (UST) Operations program.
- Invoice Analysis and Processing. This position will coordinate the processing of all invoices related to fuel service contracts. This includes validating that invoiced services are either under contract or out-of-contract, validating that fees align with contract terms, properly assigning responsibility codes to invoices, obtaining bill-of-authority approval for payment of invoices, and tracking all spend for ad-hoc reporting to leadership for strategic decision making. This supports vendor contract management and spend controls under the Compliance, Risk Management and Underground Storage Tank (UST) Operations programs.
- Supplies and Small-Equipment. This position will maintain the database for not-for-retail fuel supplies and small equipment ordered by our fuel retail locations. This includes maintaining a current item list in the company purchase order system, obtaining and reviewing periodic consumables quotes from vendors, monitoring cost increases, seeking comparable items to control costs and tracking all costs for ad-hoc reporting to leadership for strategic decision making. This supports the Underground Storage Tank (UST) Operations program.
- Above Ground Storage Tanks (AST) and NFR Support. The four service elements noted above are provided for both resale and not-for-resale (warehouse) locations. UST as well as AST knowledge bases need to be acquired and maintained in this role. Many newly inherited ASTs need repairs, require compliance reviews and/or exhibit fuel quality concerns. Knowledge of fuel additives, biocides and fuel quality testing is necessary.
- Ability to travel up to 30% of time to visit customer locations, vendor sites, and market areas as needed to support operations and ensure effective collaboration.

Qualifications
- Advanced knowledge in Fuel storage
- Bachelor's Degree in relevant field or equivalent practical experience in related industry
- Advanced understanding of Federal and State regulations governing fuel storage, dispensing systems, and safety protocols with proven experience ensuring compliance across multiple jurisdictions
- UST Class A/B Operator certification (PA)
- 2+ years' experience with fuel storage, piping infrastructure, and/or dispensing systems
- Highly efficient oral and written communication abilities
- Proficiency in Microsoft suite of tools
- Demonstrates proficiency in preparing and delivering presentations
- Strong critical thinking skills with ability to analyze complex issues
- Retail fuel station operations
- State regulations for UST A/B Operators and Training Capabilities
- Understanding of the holistic strategy of RBS Fuel Sourcing
- Remedy/ServiceNow end-user knowledge
- Coupa end-user knowledge
Preferred Qualifications
- Formal Underground Storage Tank (UST) certification, including A/B operator training

ME/NC/PA/SC Salary Range: $63,400-$95,160
IL/MA/MD Salary Range: $72,880 - $109,320
