Summary:
The Front Desk Administrator/Receptionist plays a vital role in ensuring a welcoming, professional, and efficient environment for residents, guests, and staff at Woodland Park Apartments. This role is essential to maintaining a high level of resident satisfaction and ensuring smooth day-to-day operations within the community.
As Front Desk Administrator/Receptionist, you will be responsible for delivering exceptional customer service, managing front desk operations, handling administrative tasks, and assisting with resident services and community events. As Front Desk Administrator/Receptionist, you will report directly to the Property Manager and will be responsible for tasks as needed, to include but not limited to:
Key Responsibilities:
Resident & Guest Services:
- Greet and welcome residents, prospective residents, and guests in a professional and friendly manner.
- Provide a positive customer service experience by being attentive, courteous, and responsive to inquiries and concerns.
- Answer and direct phone calls, take messages, and respond to emails in a timely manner.
- Manage guest check-ins and check-outs, ensuring accurate documentation.
- Assist residents with service requests, pest control requests, and package acceptance adhering to community guidelines.
- Register and issue parking passes, gate passes, fitness fobs, and pool passes.
Administrative & Operational Support:
- Schedule and manage appointments for staff and management, ensuring meetings and events are well-organized.
- Maintain accurate records of visitor logs, appointments, and resident requests.
- Oversee Hospitality Suite and Pub Room rental management.
- Manage and coordinate community programs such as Fetch and Captivate.
- Conduct regular inspections of the clubhouse, business center, fitness center, and other common areas to ensure cleanliness and upkeep.
- Assist in preparing and distributing the monthly newsletter.
- Provide general administrative support, including filing, distributing reports, and maintaining resident databases.
Community Engagement & Events:
- Help facilitate and support resident events and community activities.
- Promote and assist with Fitness on Demand programming.
- Foster a sense of community by collaborating with other departments and ensuring resident satisfaction.
Qualifications & Competencies:
- High School Diploma or higher.
- Previous customer service experience required.
- Strong interpersonal and communication skills.
- Excellent ability to multitask in a fast-paced environment.
- Knowledge of and adherence to Local and Federal Fair Housing and Landlord-Tenant Laws.
- Ability to work independently and collaboratively as part of a team.
Schedule: 9-6pm, office is open 7 days/week. You will work 40 hours/week, which includes working three weekends a month (with two days off during the week).

- Salary: $18.00-$22.00 per hour (Pay is commensurate with experience, education, training, and skills)
