Assist Associate Director of Financial Aid Operations with the coordination/configuration of the computer systems within the Financial Aid department. Serve as a resource regarding the technological and data needs of the University’s external constituencies. Assist financial aid and student assistant staff with ways to maximize the use of technology to administer the various financial aid programs while improving overall student satisfaction. This position performs daily operational checks/balances to ensure that the highest level of productivity and service to the students is achieved. This includes reviewing and analyzing reports and resolving inconsistencies as needed with respect to Federal, State and Institutional aid programs. The Operations Coordinator represents the University at state and regional conferences, area schools, and lending institutions, as well as acting as a liaison with high school students, parents, and administrators.
Assist with student correspondence including document imaging and requests for information and that those requests are done within the required federal regulatory time period. Keep current with all releases of software programs that require the offices to function efficiently and effectively. Provide leadership and training on any new and improved electronic processes.
Assist with monthly and annual reconciliation of award programs and ensure these programs are in compliance with federal, state and institutional requirements.
With a financial assistance volume of over $200 million per year for about 85% of all students assist with administering student aid by:
- Maintaining a working knowledge of all current federal, state and industry regulations and guidelines related to the awarding of financial aid.
- Determining student eligibility for federal programs, state grant programs, Veterans Benefits, Vocational Rehabilitation Benefits, ROTC programs, scholarships, and any other applicable aid programs based on federal, and state laws and regulations and readjustment of other awards as necessary.
- Coordinate with the Development Office the administration of any term and endowed scholarship funds ensuring the donors’ eligibility requirements are met. Keep current with all releases of software programs that require the offices to function efficiently and effectively.
- Assist in providing training on any new and improved electronic processes.
- Liaison for State Aid programs
- Train, schedule, and provide supervision for the student employees within the Financial Aid Office
Knowledge of Financial Aid
- Obtain through seminars, training workshops, web bulletins and newsletters, an expert knowledge of financial aid regulations.
- Maintain knowledge of student eligibility as required for financial assistance in compliance with federal, state, and institutional guidelines to award accordingly to include student aid award procedures to determine what levels of financial assistance to offer student
Assist with the coordination in the overall management of data maintained on the various databases that support financial aid processing.
- Intercede and resolve any major system software, hardware, or data access problems.
- Develop the system setup, proper and timely flow of data for each award year to ensure the timely release of financial aid award notification.
- Develop and prepare necessary reports for the monitoring of financial aid award amounts to assist in the prevention of any regulatory violations and over awards of funding allocations.
- Develop and maintain the interface between computer systems, web and network technologies that improve efficiencies.
- Work with all campus Financial Aid and Student Employment offices to assist with any new/improved electronic processing systems.
- Oversee the delivery of external scholarship information along with any proactive activities that assist students with the application process.
- Work cooperatively with other University offices to ensure the accuracy of shared information in the delivery of financial aid awards.
Assist with the oversight of website maintenance
- Work with the internal university departments to maintain and enhance the Financial Aid and Student Employment web presence.
- Create web forms as required.
- Receive web feedback in various formats and convert into a layout that can be easily utilized and analyzed by supervisors and peers.
- Manage the department’s internal web presence.
- Research technologies and make recommendations to enhance online services for students.
Perform other duties or special projects as assigned.
Qualifications
Associate’s degree along with at least three years of experience working in a role that deals with technology and troubleshooting issues.
Required skills, knowledge, abilities:
- Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
- Prior financial aid work experience preferred.
- High volume, sophisticated computerized environment using multitude of software packages. Prior experience working with the Financial Aid Module of Peoplesoft Campus Solutions, preferred.
- Ability to install, configure, troubleshoot and maintain software applications and peripheral equipment used by the department.
- Interpersonal skills necessary to deal effectively with staff, the public, and the university community; Demonstrated strong written and verbal communication skills.
- Demonstrated analytical abilities to handle complex administrative details with experience working in a fast-paced, multi-tasking environment
- Ability to work well under pressure and with frequent interruptions of work
- Demonstrated ability to contribute to and promote a team environment.
- Will be required to work weekend/evening hours during peak periods
