As an Executive Assistant, day-to-day activities will be critical to building stakeholder confidence and upholding the standards of operating responsibly. We are looking for an efficient self-starter with the ability to operate effectively in a fast-paced environment. You are a masterful problem-solver, highly organized and have exceptional communication skills. You also have an excellent ability to build and maintain relations and help drive accountability.

You’re great at…

  • Understand business goals and/or external priorities and provide day-to-day management of the Leaders calendar and activities, to ensure high value time utilization.

  • Understand the business to build effective relationships, assign priority to meeting invites and ask questions proactively to assess urgency.

  • Provide updates to the Leader on upcoming meetings, ongoing obligations, project deliverables and timelines.

  • Responsible for the timely preparation and presentation of materials for meetings.

  • Coordinate completion of deliverables by assigned Leader.

  • Collect materials in preparation for requirements, update materials and review amendments with stakeholders.  

  • Dispatch meeting invitations, book meeting rooms and arrange for resources and other requirements in support of smooth and efficient meeting facilitation.

  • Support the coordination and implementation of department events.

  • Prepare PowerPoint presentations (developing, formatting, proofreading, printing) and other documents.

  • Understanding travel preferences of the Leader and organize travel arrangements and related travel documents required prior to travel.

  • Develop and maintain a filing system; ensuring business and operational reports, forms, and other documentation, paper or electronic, are readily available.

  • Regularly review and manage corporate expenses and usage (e.g., expense report review) and ensure expense reimbursement is within the guidelines.

  • May participate in committees such as the Diversity & Inclusion committee to stay abreast of key events and keep the Leader member up-to-date on all upcoming events, programs and initiatives.

Who are you?

  • You have a minimum of 5+ years as an executive assistant/administrator and/or Business Manager to senior leaders.

  • You have strong analytical, critical thinking and problem-solving skills and an ability to present clear, concise and effective solutions.

  • You are a critical thinker and rely on experience and judgment to plan and accomplish goals.

  • You are proficient with MS Office (Word, Excel, PowerPoint, Outlook).

  • You have strong communication skills, both verbal and written, with the ability to collaborate and build relationships with key stakeholders.

  • You exhibit meticulous attention-to-detail and excellent time management and organizational skills.

  • You have expertise in social media and collaboration tools like LinkedIn.

  • You can handle stressful situations with measured calmness and decisiveness.

  • You are guided by exceptional common sense, maturity, discretion and the ability to maintain confidentiality.

  • Eligibility to work for Interac Corp. in Canada in a full-time capacity.
