The Impact You Will Have
The dynamic nature of this role requires the Executive Assistant to be deeply imbedded in the management of the New York City Capital Markets team. The ideal candidate thrives as the 'go-to person,' leveraging their proactive problem-solving, excellent communication skills, meticulous attention to detail, and strong time management abilities to position themselves as an expert support resource. Reporting to the Senior Managing Director and working closely with the New York City Capital Markets team, they will anticipate and address team needs to drive business success. By organizing business activities, handling confidential information, and providing comprehensive administrative support, they will ensure the smooth operation and efficiency of the team.
Primary Responsibilities
- Helps organize complex business activities such as meetings, conferences, and departmental events.
- Supports day-to-day business needs for the Executives which includes but is not limited to being a liaison on behalf of the Executives with IT, all other departments within WD, external companies – clients, lenders, vendors, etc.
- Handles confidential and non-routine information and explains policies when necessary.
- Coordinates high volume scheduling requests, travel and contacts for the Executives.
- Manages the calendars and expenses, and provides general office support including: word processing and proof reading.
- Prepares general correspondence and business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Maintains superior organization of highly confidential business, personal paperwork and personnel records.
- Perform other duties as assigned
- Attendance is generally Monday through Friday in office each day.
Education and Experience
- Bachelor’s degree or equivalent experience strongly preferred.
- Must have 5+ years of experience supporting executives in a corporate environment.
Knowledge, Skills and Abilities
- Excellent attention to detail, judgment, flexibility and dependability.
- Strong business sense and ability to prioritize work as well as to find solutions to various problems while prioritizing and managing deadlines.
- Interest in or experience with Real Estate Finance.
- High level of interpersonal skills and maturity to handle sensitive and confidential information. Position continually requires poise, tact, diplomacy and initiative.
- Proficiency in Microsoft Office applications including Word, Excel, Outlook and PowerPoint.
- Ability to show ownership of your work, take on challenges and acknowledge growth opportunities, and demonstrate patience when learning new processes
- Courtesy, respect, and thoughtfulness in teaming with colleagues and other stakeholders
This position has an estimated hourly rate of 36.06 - $43.27 plus discretionary production incentives. An employment offer is based on the applicant’s relevant work experience, applicable knowledge, skills, abilities, internal equity, and alignment with market data.
