Job Description:
What You'll Do
- Provides business support services to enhance and maximize the effectiveness of the business/business area. Works closely with functional leader(s) with confidential and sensitive information. Schedules, guides and manages the key engagements of the department/leader. Provides administrative and secretarial services to members of staff such as calendar management, arranging travel, scheduling internal and external meetings, and miscellaneous administrative tasks.
- Actively manages and escalates risk and customer-impacting issues within the day-to-day role to management.
How You'll Do It
- Composes responses to inquiries and directs to appropriate personnel. Distributes requests for information, tracks progress, and follows up on actions taken. Sorts and files correspondence and other documents in filing system. Opens, sorts, and distribute mail. Sends outgoing mail.
- Completes typing assignments including correspondence, forms, tables, proposals, and reports.
- Screens telephone calls and visitors.
- Schedules and maintains calendar of appointments, meetings, and travel itineraries. Track time and attendance for team.
- Takes notes during meetings and produces minutes.
- Participates in orienting and training new team members.
- Coordinates internal moves and office reconfigurations.
- Tracks department budgets and reconciles questionable charges.
- Orders office supplies.
- Provides support for projects. Arranges and coordinates conferences, dinners, lunches, and other special events.
- Maintaining departmental and location outlook distribution lists

Bonus Points If You Have
- Previously worked within a Financial Services organisation
- Supported more than one Senior Executive/VP/C+ Suite and their teams at the same time preferably in US time zones.
- Ability to build a strong rapport with leadership team and stakeholders so you can act as a trusted partner.
- Successful candidate must be reliable, professional and a flexible team player who can work calmly under pressure and in an environment where schedules can change at short notice.
- Effective and efficient with strong organisation, prioritisation, time management skills and working at high levels of accuracy.
- Proficient in all Microsoft office programmes, in particular Outlook, Word, Excel, PowerPoint, MS Teams and OneNote. In addition, knowledge of WorkDay, ServiceNow and Jira is desirable.
