About The Role:

  • Goal: Efficiently manage non-strategic tasks, allowing the Founders to focus on high-level decision-making and strategic initiatives. The EA will be responsible for ensuring flawless execution of daily operations, from calendar management to travel coordination, enabling smooth workflow and enhanced productivity
  • Outcomes
    • Maximized Founders’ Strategic Time: Free up 20-30% of the Founders' time for high-level decision-making within the first 3 months by efficiently managing schedules, travel arrangements, and administrative tasks.
    • Flawless Operational Execution: Ensure 100% accuracy and timeliness in task execution, including managing calendars, travel logistics, and event planning, with fewer than 3% scheduling conflicts and task errors.
    • Proactive Productivity Boost: Anticipate needs and proactively handle tasks, reducing last-minute challenges by 80% within the first 6 months, improving leadership team productivity by identifying and addressing potential issues in advance.

What You’ll Do:

  • Calendar & Task Management: Efficiently manage the Founders' schedules, coordinate meetings, and prioritize critical tasks. Handle travel arrangements, ensuring alignment with the Founders' needs and preferences.
  • Event & Meeting Coordination:Organize internal/external events and manage all logistical aspects from planning to execution. Ensure flawless execution of events, such as team off-sites and client-facing engagements.
  • Project & Document Support: Assist with special projects, track progress, and ensure timely completion of deliverables. Prepare high-quality documentation, reports, and presentations as required.
  • Travel & Expense Management: Coordinate travel arrangements, including flights, accommodation, and transportation, ensuring cost-effectiveness and efficiency. Process and manage travel expenses, adhering to company policies for timely reimbursement.
  • Personal Support for Founders: Manage personal and professional errands for the Founders to enhance their productivity and balance personal-professional integration.

What We Need:

  • At least 3 years of experience in a high-level Executive Assistant role, preferably supporting C-level executives
  • Bachelor’s degree preferred
  • Experience supporting an executive level role in a fast-growing company 
  • Startup experience preferred 
  • Proven ability to work well independently, intuitive and the ability to anticipate needs is essential
  • Strong written and oral communication skills and confident in a client-facing role
