As an Executive Assistant, you will play a key role in supporting assigned Sentry executives by performing comprehensive administrative and executive support tasks, as well as proactively helping executives leverage their time most effectively. You will utilize discretion, confidentiality, and develop a detailed knowledge of the organization's operations, procedures, and people.
You will be a key colleague of assigned executives, preempting their needs and requirements while anticipating and resolving issues before they develop. In this role, you will take your executive support skills to the next level by working closely with Sentry executives to ensure their day runs as smoothly as possible at one of the largest mutual insurance companies in the U.S.
This position will be located at our Stevens Point, WI office.
What You’ll Do
As an Executive Assistant, you’ll develop and maintain a superior level knowledge of the business areas you are supporting. Additionally, you will:
- Leverage knowledge of the business unit strategic plans in supporting assigned executives.
- Proactively manage daily activities of assigned executives; exhibiting ownership in managing an extremely active calendar of appointments.
- Anticipate potential conflicts and adjusts calendars, as appropriate.
- Schedule meetings and provide support by handling necessary meeting logistics (room reservations, preparing meeting materials, catering, etc.)
- Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, and presentations.
- Perform tasks using independent judgment and discretion; e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes as needed
- Coordinate travel arrangements.
- Serve as the point of contact between executive and their colleagues and direct reports; liaising on behalf of the executive as agreed.
- Handle confidential information and maintain the security of the executive's records and files.
What it Takes
- Associates Degree required. Advanced degree or certificate preferred.
- 3+ years of related work experience.
- Experience providing executive level administrative support experience is preferred.
- Exceptionally positive service approach projected on behalf of assigned executives, including proactive communications that assure all constituents have information they need for meetings and events.
- Demonstrated experience producing written communication in a clear, concise, organized and convincing manner for the intended audience.
- Ideally experienced interacting with and working with senior executives and/or board level constituencies.
- Strong proficiency in core Microsoft Office applications including Word, Excel and PowerPoint.
- Ability to edit and correct written information after it’s been produced.
- Demonstrated proficiency with productivity tools and portal technologies (i.e. Workday financials, MS Teams, WebEx, Boardvantage, Deem) is preferred.
- Ability to assume responsibility with minimal supervision and make decisions within the scope of assigned authority.
- Produce work products thoroughly and with great accuracy. Possess high level of attention to detail.
- Possess proven ability to maintain confidentiality.
