Job Title: Executive Assistant

Location: This position is onsite in Irvine, CA.

Employment Type: Full-time

Pay Range: $85,000-100,000 per year based on experience, qualifications, and skillset.


Position Overview:

As a Executive Assistant, you will play a crucial role in supporting top-level management by efficiently managing administrative tasks, facilitating communication, and ensuring smooth operations within the organization. Key Responsibilities:

The Executive Assistant must be able to perform the following tasks:

  • Efficiently manage the executive’s calendar, scheduling appointments coordinating both in-office and offsite meetings and travel arrangements.
  • Anticipate scheduling conflicts and proactively resolve them to ensure optimal use of the executive's time.
  • Act as the primary point of contact and maintain open and effective communication channels with internal teams, external partners, and stakeholders, cultivating positive relationships on behalf of the executive.
  • Screen and prioritize incoming calls, emails, and other correspondence.
  • Draft and edit emails, letters, and other documents on behalf of the executive.
  • Liaise with other departments and teams to facilitate collaboration and information sharing.
  • Schedule, organize, prepare materials for staff and team meetings and other group events and help prepare proposals and contracts.
  • Log and drive completion of key deliverables, provide follow up for outstanding tasks, direct completion of conflicting priorities, and resolve any issues efficiently
  • Conduct research, gather data, and prepare reports as needed to support decision-making processes.
  • Handle confidential information with discretion and professionalism.
  • Assist with special projects and initiatives as assigned by the executive.
  • Handle executive-level administrative responsibilities, including errands and logistical support. 


Required Qualifications:

The Executive Assistant must have the following experiences:

  • 3-5 years of executive or administrative assistant experience.
  • Exceptional organizational and time-management skills.
  • Very detail-oriented with a focus on accuracy and follow-through.
  • Strong written and verbal communication skills.
  • Proficiency in Google Workspace, Microsoft Office Suite and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and the ability to handle confidential information with sensitivity.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Professional demeanor and excellent interpersonal skills.

Preferred Qualifications:

  • High school diploma or equivalent, Associates Degree preferred.
