We are currently recruiting for an Executive Assistant SVP EMEA & LATAM, role can be based in multiple locations Milan (Italy), Marlow (UK), Strasbourg (France) or Prague (Czechia).
This position provides high-level administrative and executive support to the Senior Vice President and regional leadership team. The role involves a wide range of advanced administrative and secretarial responsibilities, including managing confidential information, supporting complex projects, and coordinating communication across multiple stakeholders.
The ideal candidate will demonstrate a high degree of discretion, sound judgment, and professionalism, while navigating sensitive matters and maintaining alignment with regional priorities. This role requires not only organizational excellence but also a deep understanding of business protocols, regional operations, and company policies. It’s a unique opportunity to operate at the intersection of executive leadership and strategic execution.
What you’ll be doing
- To provide a high quality, confidential and proactive administrative support service to the EMEA SVP including but not exclusive to: diary management, travel booking, meeting planning and logistics as and when required.
- Create and process expense reports.
- Coordinate and make notifications and arrangements for travel reservations, appointments, meeting planning and catering.
- Maintain sensitive files and records, facilitate effective communication within the organization, open and sort mail.
- Prepare reports, manuals, agendas, correspondence, presentations, and memoranda/minutes.
- Create and maintain Organization charts, employee directory, share point and e-mail group distribution lists.
- Miscellaneous projects as assigned. (i.e., Annual Sales Conference, New EMT Leaders on boarding logistics arrangements)
- There is a requirement for occasional work related travel to offsite meetings to support the SVP and his team and/or prepare EMT logistics (hotel, transportation, hotel liaison) 15% of time approximately
- Perform other work-related duties as assigned.

- Flexibility is essential when dealing with an organization in the mindset of change; everyday shifting of priorities common to fast-moving businesses
- Business Acumen: understanding business priorities and maintain solid and frequent
Required Skills:
- English (C1)
- Minimum of 5/7 years’ experience in a Senior Admin/Executive Assistant position
- Proven Experience of providing a range of support services including calendar management
- Track record of high integrity and credibility.
- Proficiency in Microsoft Word, Excel, PowerPoint, Proficient including extensive use of Outlook.
