Job Description Summary
For over forty years, HarbourVest has been home to a committed team of professionals with an entrepreneurial spirit and a desire to deliver impactful solutions to our clients and investing partners. As our global firm grows, we continue to add individuals who seek a collaborative, open-door culture that values diversity and innovative thinking.
In our collegial environment that’s marked by low turnover and high energy, you’ll be inspired to grow and thrive. Here, you will be encouraged to build on your strengths and acquire new skills and experiences.
We are committed to fostering an environment of inclusion that promotes mutual respect among all employees. Understanding and valuing these differences optimizes the potential of both the individual and the firm.
HarbourVest is an equal opportunity employer.
This position will be a hybrid work arrangement, which translates to 2-3 days minimum per week in the office.
We are seeking a motivated Executive Assistant to join our fast-growing Strategy, Innovation and Execution (“SIE”) team, which is responsible for propelling the growth of our firm. This role is ideal for a proactive teammate who thrives on solving problems and takes pride in detailed execution.
The ideal candidate is someone who is:
- A clear and effective communicator who likes working on a team
- History of accountability, ownership, time management, and initiative
- Able to work on projects, which could include booking travel, organizing expense reports, planning events, putting together meeting agendas, and similar efforts
- Able to apply judgment
What you will do:
- Support a handful of senior colleagues in the SIE team, helping manage their calendars.
- Drive scheduling and coordination of various projects, working as a connector among internal and external contacts. Our work is fast paced and often crosses time zones, so a candidate should demonstrate a history of accountability, ownership, time management, and initiative. Beyond scheduling, common projects could include booking travel, organizing expense reports, planning events, putting together meeting agendas, and similar efforts.
- Excel in clear communication across formats, especially written. The EA function is both a cornerstone of our internal operations and also a face of the firm to external partners.
- Apply judgment: In HarbourVest’s entrepreneurial environment, our operating norm is not just to deliver a prescribed process towards completing a task, but to embrace more broadly the goal we need to accomplish. This sometimes means solving unforeseen obstacles along the way to get to the right place.
- Be a part of a diverse team with strong culture: We have offices, colleagues, and counterparties across the world, and we are fortunate to work with professionals who bring a breadth of experiences and perspectives. You will join a global team where colleagues deeply enjoy working together and rarely choose to leave, with some of the lowest turnover in the industry.
- And other responsibilities as required
What you bring:
- Exceptional organization and time management skills in a fast-paced environment where priorities often shift and flexibility is important
- Clear, professional communication and high attention to detail
- Excellent judgment and high degree of ownership – ability to work with minimum supervision
- Microsoft Office proficiency (Outlook, Word, PowerPoint, Excel)
Education Preferred
- Bachelor of Arts (B.A) or equivalent experience
- Bachelor of Science (B.S) or equivalent experience
Experience
- 5+ years of administrative experience supporting senior leaders in professional services (e.g., financial services, law, management consulting)
