Job Summary:
The Independence Pet Holdings (IPH) Office of the CEO is seeking a highly skilled and proactive Senior Executive Assistant to provide exceptional administrative and strategic support to C-level executives, including the CEO. Reporting directly to the Chief of Staff to the CEO, this high-visibility role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced, high-growth environment and can navigate ambiguity with confidence.
As a critical partner to the Chief of Staff, the Senior EA will ensure the seamless execution of executive priorities, optimize workflows, and drive cross-functional collaboration. This role requires exceptional discretion, strong communication and interpersonal skills, and the ability to anticipate needs while managing multiple high-priority administrative and operational responsibilities.

Main Responsibilities:

Provide comprehensive administrative support to C-level executives, including the CEO, managing complex calendars, scheduling, and prioritizing high-level meetings.

Act as a gatekeeper and liaison for internal and external stakeholders, ensuring efficient communication and follow-through on key initiatives.

Coordinate and manage all domestic and international travel and events, handling logistics, accommodations, itineraries, and expenses.

Ensure executives are fully prepared for meetings by compiling agendas, briefing documents and tracking follow-up action items.

Partner closely with the Chief of Staff to drive executive priorities and maintain alignment across leadership teams.

Establish and lead an Executive Assistant Community of Practice, sharing best practices and fostering collaboration and seamless coordination among EAs across IPH.

Schedule, arrange, and coordinate IPH entity board meetings in collaboration with the Corporate Secretary.

Assist with internal communications and special projects as needed.

Serve as a thought partner to the Chief of Staff, identifying opportunities to optimize executive workflows and enhance operational efficiency.
Basic Qualifications:

Bachelor’s degree in Business Administration, Communication, or related field or equivalent work experience.

8+ years of providing administrative support to a C-level executive.

Prior experience in high-growth industries (e.g., startups, technology, finance, or consulting) a plus.

Exceptional written and verbal communication skills.

Strong problem-solving mindset, with the ability to anticipate needs and proactively address challenges.

Proficiency in Microsoft Office (Word, Excel, PowerPoint), and collaboration tools such as Teams and SharePoint.

Discretion and integrity in handling sensitive and confidential information

Strong interpersonal skills, with the ability to build trust and rapport with stakeholders at all levels.

Experience working in a global environment a plus.
