Job Description
As an Executive Assistant, you will be responsible for providing day-to-day administrative support to a CPP Investments Senior Management Team Executive, including managing calendars, meetings, expenses, events, presentations, travel, correspondence, and departmental initiatives.
Team Description
The Office of the Head of Europe at CPP Investments is responsible for overseeing and coordinating all investment activities, strategic initiatives, and stakeholder relationships across the European continent.
The Real Assets group at CPP Investments manages a global portfolio of long-term investments in infrastructure, real estate, and sustainable energies.
Accountabilities:
- Proactively manages a complex and busy calendar, including scheduling internal and external meetings, calls, and travel.
- Assists in the creation of high quality, strategic reports and presentations for Executive, Department, Board, and external meetings.
- Solicits input and is responsible for ensuring the accuracy of data used in these documents.
- Responsible for seamless end-to-end coordination of department-wide special projects/events (e.g. offsites,), including but not limited to venue booking, catering arrangements, compilation, and printing of materials, etc.
- Coordinates employee town hall events, including meeting logistics and room bookings.
- Prepares, files, and retrieves corporate documents, records, and reports.
- Assists with meetings end-to-end, including the preparation, compilation and distribution of agendas and pre-reads, minute-taking, and prioritization and follow-up of meeting action items.
- Timely preparation and submission of corporate credit card and expense reports.
- Coordinates the approval and processing of invoices.
- Organise the Europe office events – Senior team dinners, Employee resource group events, Summer/Christmas Parties
- Responsible for Europe budgeting and monitoring fiscal spend against budget.
Qualifications
- College diploma or bachelor’s degree
- Commensurate administrative support experience including time spend supporting C-level (with Board and external responsibilities)
- Prior experience in the financial services or related industry is an asset.
- Requires strong communication skills, both written and verbal in English
- Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
- Experience providing support to senior professionals and managing competing priorities.
- Technologically savvy and highly proficient with Microsoft Office (Word, Excel, PowerPoint) and other applications
