Our Executive Assistant Will Support:
General Executive Support

Provide high-level support to maximize the effectiveness of executive leader, this includes Work across departments with both leadership and other administrative support team members to maximize efficient workflows

Prepare meeting materials, coordinate and schedule meetings, prepare and deploy correspondence, project management, and data gathering and reporting.
Schedule Management

Assist the executives with managing and prioritizing their daily workload and adjust throughout the week to account for revised priorities.

Manage complex calendars while planning and ensuring that meetings and daily schedules are followed and conflicts are professionally handled.

Work cross-functionally with other executive administration to ensure strong meeting management
Communications

Proofread, edit, and draft emails, SOPs, vendor agreements, meeting slides, agendas, announcements, and notes.

Send company-wide communications on behalf of the executive
Travel & Accounting Support

Arrange air and ground travel, hotel accommodations, as well as the creation of comprehensive and detailed itineraries.

Coordinate PO activities, Invoice management, Coupa submissions, expense reports, and other general accounting functions to support the executive and broader team
Project Management and Team Administrative Support

Support executive and team with general project management work

Plan and execute onsite and offsite events and meetings; some travel may be required

Ensure accountability of key stakeholders in projects, meetings, etc.
Qualifications
Our Executive Assistant Has:
- 5+ years as an Administrative and/or Executive Assistant
- Ability to manage multiple shifting, and often competing, priorities throughout the day while keeping a calm and cool demeanor.
- Dynamic communication ability with both internal and external stakeholders - both written and verbal. You will be an extension of our leadership team, embodying our core values and serving as a brand ambassador.
- Strong problem-solving skills with an eagle eye for detail always looking three steps ahead, behind, and deeply into everything that could impact the day-to-day
- Experience booking and managing travel.
- Able to work a schedule that might at times fall outside of normal business hours

Strong technology skills, including the following or similar programs:

Google Suite products (calendars, docs, sheets, slides, etc)
