Minneapolis office management and administrative support to team and leaders 

Who You Are & What You’ll Do 

You are a master multi-tasker with excellent communication skills and an upbeat attitude. Motivated self-starter with the ability to manage an office and provide polite and professional support to managers, other team members, and office visitors by handling a variety of tasks to ensure that all interactions between the organization and external stakeholders are positive and productive. 

Executive Assistant Responsibilities include but are not limited to –  

Assisting the office VP and Directors– Calendar, expenses, travel, meeting planning, Leadership mtg + Agenda and special projects.   Updating the VP on any office information they need to be aware of along with general organization and coordination support.

Establishing and maintaining relationships with other Executive Assistants at Unilever and at the customer which you can learn from, support, and gather insights from (be in the know).

Office Management Responsibilities include but are not limited to –  

IT Contact – Work with and be the contact tech liaison for any work required in the office including replacing equipment, contacting IT when we have an office IT problem etc.  Make sure all laptops, phones and other equipment are available and returned during team transition.

New Employee Onboarding - Work with property manager for access badges, track, delegate rights and help onboard new employees with office ways of working. Confirm that employees that have left return access badges and equipment and are removed from system. 

Obtain copies of new employee id/ passports and I9 form completion to keep on file. Input new employee into E-Verify.  

Bill Pay – Storage, Cleaning Office, Cable, any yearly contracts with office and community. 

Townhalls – Schedule, help to set up room, screens, anything needed. Create people slides and any other slides the VP needs to cover. 

Security Site Contact – Work and liaise with security team to get up to speed and do the pertinent training modules on what needs to be done to finish out the year. Attend the monthly meetings on updates. 

UPS – Contact for shipping bills, changes to account, supplies etc. 

Cleaning and Maintenance Crew – Work with them on repairs or extra better cleaning we needed. 

Guest WIFI – Setting up and changing every 6 months for the office. 

Distribution List, Cell Phone List & Birthday list – Keeping this up for the office and anyone that needs to use it. 

Meeting Preparation - Set up, book a room, order meals create and distribute agenda for meetings.  

Supplies - Ordering all snacks and supplies for the office & kitchen. Stocking supplies and snacks when they arrive. 

Office Correspondence - For Team from VP, Office Management or corporate etc. 

Volunteer – Help to get product ordered, baskets made and schedule pickups. Overseeing and helping to organize anything we do as a team. 

Office Meals - Ordering and organizing all office meals,

Mail/Office Deliveries – Letting employees know when they receive boxes or mail.

Helping the Directors/ Employees - with special projects when requested. 

Workplace Services – Working facilities team on all office projects such as remodel and work done, new furniture etc. 

What You’ll Need To Succeed

Prior Administrative Experience  Attention to detail  Great organizational skills Strong Microsoft Outlook/Office Skills - Familiarity with shared calendar planning & excellent computer skills Excel at both verbal and written communication Think a step ahead on what needs could come up and be proactive and ready to resolve Most importantly, have a genuine desire to meet the needs of others and help the TEAM succeed!

Pay: The pay range for this position is $63,000 to $95,000. Unilever takes into consideration a wide range of factors that are utilized in making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, qualifications and education, and other business and organizational needs.

Bonus: This position is bonus eligible.

Benefits: Unilever employees are eligible to participate in our benefits plan. Should the employee choose to participate, they can choose from a range of benefits to include, but is not limited to, health insurance (including prescription drug, dental, and vision coverage), retirement savings benefits, life insurance and disability benefits, parental leave, sick leave, paid vacation and holidays, as well as access to numerous voluntary benefits.
