What would your role be?   

  • Provide high-level administrative and operational support to the Head of Institutional Clients, managing day-to-day business workstreams independently.
  • Oversee and coordinate the agenda and all appointments with precision and care, plan and coordinate internal meetings, external client meetings, internal town halls, offsite workshops and other special events.
  • Ensure the smooth planning and execution of internal events, leveraging best-in-class collaboration tools to enhance participant experience.
  • Accompany and coordinate business processes and projects in close collaboration with other departments.
  • Plan and arrange international business trips and book internal and external meetings, suitable hotels, and restaurants.
  • Handle correspondence with senior stakeholders professionally in both German and English.
  • Take minutes and track action points during management meetings.
  • Assist in preparing and refining presentations and key documents for senior management.
  • Manage other important general tasks (e.g. checking and allocating invoices, approving management expenses, Workday approvals for the management team) efficiently and ensure that these comply with Company policy.

What are we looking for?  

  • A minimum of 5 years of experience in a similar role within an international company, ideally in investment management or financial services.
  • Commercial training, ideally complemented by further qualifications as an executive assistant.
  • Strong proficiency in MS Office (Word, PowerPoint, Excel, Outlook) and familiarity with modern communication tools.
  • Excellent verbal and written communication skills in both German and English
