Job Summary: The Executive Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and effective communication within the organization. We ask that you have exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Key Responsibilities
- Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate and facilitate communication between executives and internal/external stakeholders.
- Work with the Real Estate Department in Managing the 240 company store real estate leases across the country. This includes ensuring that the time-sensitive leases are approved on time and landlords are paid on a timely basis.
- Handle confidential information with integrity and professionalism.
- Help prepare meeting agendas, minutes, and follow-up actions.
- Conduct research and compile data for reports and presentations.
- Organize and manage special projects as assigned.
- Provide general administrative support, including filing, data entry, and office management tasks.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Strong problem-solving skills and attention to detail.
- Working knowledge of the French language is strongly recommended.

- Advanced Calendar Management: Expertise in managing complex calendars and scheduling for multiple executives.
- Travel Coordination: Proficiency in arranging domestic and international travel, including flights, accommodations, and itineraries.
- Document Preparation: Skilled in preparing high-quality documents, presentations, and reports with attention to detail.
- Communication: Excellent interpersonal skills with the ability to communicate effectively with all levels of the organization.
- Technology Savvy: Familiarity with office management software, video conferencing tools, and other relevant technologies.
- Project Management: Ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
- Problem-Solving: Strong analytical skills to anticipate and resolve issues proactively.
- Event Planning: Experience in organizing and coordinating events, meetings, and conferences.
- Research: Ability to conduct thorough research and present findings in a clear and concise manner.
