POSITION SUMMARY

The Executive Assistant is responsible for managing the schedule and communication of the VP of APAC & Growth Markets, gathering documents to prepare for meetings and coordinating meetings and travels arrangements.

ESSENTIAL JOB FUNCTIONS

  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the AGM VP’s behalf
  • Act as the point of contact for the region to executives, employees, clients and other external partners of the company
  • Lead the organisation of regional meetings, including scheduling, sending invitations and reminders, coordinating the agenda, venues, accommodations, travels and catering when necessary
  • Take the minutes during the regional meetings and follow up with actions
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters and maintaining updates/changes calendar as needed
  • Make travel and accommodation arrangements for the AGM VP, and help with his expenses’ reimbursement
  • Maintain an efficient and organized filing system, including contracts lists, and any other pertinent information
  • Maintain comprehensive and accurate records
  • Perform minor accounting duties
  • Manage information flow in a timely and accurate manner

Key Requirements:

  • Minimum 10 years work experience as an Executive Assistant, Personal Assistant or similar role
  • Structured and having excellent organizational and time management skills
  • Solution oriented: natural ability to respond to and control unexpected situations, and take initiatives to implement the best solution, sometimes with partial information at hand
  • Innovating: proven creative thinking skills;
  • Influencing: talent for reaching goals by making good impression, getting others to accept ideas ;
  • Customer oriented attitude: natural tendency to put client first and to maintain constructive contacts;
  • Coping/controlling in stressful situations: Ability to respond calmly and in a constructive way at any time
  • Starter and independent thinker, with the aptitude to work autonomously
  • Strong attention to detail
  • Discretion and confidentiality is a must
  • Outstanding verbal and written communication in English + one other language is a plus
  • Excellent MS Office knowledge
  • At ease with office gadgets and applications (e.g. e-calendars and copy machines)
  • High School degree
  • PA diploma or certification is a plus
