POSITION PURPOSE:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. The ideal candidate will be detail-oriented, efficient, and capable of managing multiple priorities in a fast-paced environment. This role requires excellent communication skills, discretion, and a strong ability to anticipate needs.
WHAT YOU WILL DO:
- Provide high-level administrative support to the executive team, including calendar management, meeting coordination, and travel arrangements.
- Handle confidential documents and communications with discretion.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Act as the point of contact between executives and internal/external stakeholders.
- Provide support to the governing boards of Pittsburgh Mercy, Mercy Life Center Corporation, and Bethlehem Haven.
- Organize and maintain files, records, and reports in both electronic and physical formats.
- Assist in planning and coordinating company events, meetings, and conferences.
- Track and follow up on important tasks and deadlines.
- Manage office operations and liaise with facilities and administrative staff.
- Support project management tasks and assist in special projects as needed.
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree required with at least 3+ years of experience in providing administrative support to corporate executives and/or governing boards.
- Requires access to transportation
- Pre-employment drug screen
Preferred Skills:
- Experience working with senior executives or C-suite level professionals.
- Knowledge of project management tools and systems.
- Familiarity with travel planning and expense reporting.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- High level of integrity and professionalism.
- Excellent organizational and time-management skills.
- Ability to work independently and handle multiple tasks simultaneously

WORK SCHEDULE: This is a Exempt (salary) position. Primarily Monday-Friday daylight with flexibility to meet some non-traditional hours as needed.
