Job Summary:
Join Central 1 as the Executive Assistant, where you’ll play an integral role in supporting our Interim Chief Technology Officer, a key leader shaping the organization’s technological excellence and delivery.
What you'll be doing:

Organizes committee meetings, prepares and distributes meeting materials, and records minutes.

Establishes administrative systems and processes to support the CTO in maintaining efficient organization.

Assesses emerging issues and priorities, providing recommendations for managing high-profile, urgent, or sensitive matters.

Facilitates the delegation of tasks and projects to senior Technology leaders and other Central 1 employees.

Represents the CTO’s perspective on departmental decisions when the CTFO is unavailable.

Manages the CTO’s correspondence and handles sensitive, confidential information with discretion.

Drafts letters, memos, and presentation materials for the CTFO and composes routine correspondence.

Conducts research, analyzes findings, and prepares summaries, briefing notes, reports, and presentations.

Occasional support to senior Technology leaders by managing calendars, emails, phone communications, and travel arrangements.

Coordinates onboarding for contractors within the Technology team, working closely with internal stakeholders.

Maintains departmental filing systems and ensures proper documentation for couriers, expense reports, and signing authorities.

Monitors expenses, analyzes variances, resolves discrepancies with Accounting, and informs the CTO of concerns.

Assigns expenses to cost centers and authorizes payments within approved spending limits.

Processes expense claims and other financial items while maintaining accurate records.

Schedules departmental and internal committee meetings, drafting agendas and distributing materials.

Schedules external meetings, confirming attendees, preparing agendas, and arranging reservations as needed.

Sets up webinars, arranges meeting rooms, and coordinates catering and equipment as needed.

Builds productive relationships with internal teams and external stakeholders to support the CTO in achieving departmental objectives.
What you'll have:

Community College diploma in business administration or related discipline, or an equivalent combination of education and experience.

5+ years of related experience working with senior executive level management in a large scale administrative and business environment.

Proficiency with MS Office (Word, Excel, PowerPoint, Calendar/email)

Ability to anticipate the needs of senior leaders and the department(s), and plan and manage multiple activities, issues, and projects.

Ability to speak on behalf of senior leaders when unavailable for consultation and make effective decisions.

Excellent oral and written communication, customer service and interpersonal skills.

Readily takes on challenges or difficult tasks and has reputation for delivering on commitments.

Plans and prioritizes work to meet commitments aligned with organizational goals.

Works without supervision and provides technical guidance when required on developing appropriate plans and performing necessary actions based on recommendations and requirements.
Salary Range: $65,000-$72,000 per annum
The salary represents the job rate determined for the successful candidate who is fully competent in the role. The actual salary will vary depending on market conditions and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
