Where you come in:

The successful candidate will provide assistance to the site leadership team by coordinating a wide variety of administrative and operations functions including schedule management, travel management, assisting and leading various projects, creating meeting agendas and material, and acting as a liaison to all internal and external entities. This position requires a highly organized and self- motivated person who is flexible and can work well under pressure.

  • Coordinate leadership schedules, meetings, agendas, and meeting materials, along with reserving meeting facilities.

  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and adjusting plans.

  • Improve the corporation’s reputation by taking ownership for achieving new and diverse requests and exploring opportunities to contribute to job accomplishments.

  • Greet visitors, guide them, manage correspondence, plan events, address inquiries, and handle executive communications.

  • Develop travel itineraries, book transportation, arrange lodging, manage expenses following company policies.

  • Collaborate with other sites to exchange information and standard methodologies in support of site day-to-day operations.

  • Handle sensitive information and maintain confidentiality of all personal and corporate matters.

  • Work with all levels of employees. Work closely and effectively with others to coordinate events and projects.

  • Assist with onboarding new hires that report directly to the directors.

  • Order and deliver catering for breakfast and lunch meetings.

  • Coordinate offsite team meetings and team-building events.

  • Build e-newsletters, town hall slides, and other meeting material as requested.

  • Order and maintain supplies and arrange for equipment maintenance.

  • Must have in-depth knowledge of company operations.

  • Must have excellent written, verbal, analytical, and interpersonal skills and have the ability to effectively and professionally work with all levels of employees.

  • Must be able to work independently.

  • Must be available to travel to tradeshows for onsite coordination.

  • Must have good technical and computer expertise (Microsoft Office including Excel and PowerPoint), possess advanced computer skills, and have the ability to train others on system usage.

  • Familiarity with travel and expense management through Concur.

  • Must have excellent organizational and planning skills, communication skills, respect and adhere to confidentiality, attention to detail and accuracy, judgment and independent decision-making ability, problem analysis and problem-solving skills, adaptability, initiative, information gathering, and monitoring skills.

  • Must also be self-disciplined, self-motivated, extremely flexible, meticulous, accurate, detailed, and dependable.

  • May be asked to occasionally be accessible at various times outside of a typical workday and possibly weekends to make changes to travel and schedules.

Experience/Education:

 Typically requires a Bachelor’s degree and a minimum of 2-5 years of related experience.
