Job Description
As an Executive Assistant, you will be responsible for providing day-to-day administrative support to senior leaders within CPP Investments, including managing calendars, meetings, expenses, events, presentations, travel, correspondence, and departmental initiatives.
Team Description
We are currently recruiting for an Executive Assistant (12 to 18-month contract) to join the & Operations, Investment Research, Consumer Products and Active Ownership groups within the Active Equities Department in Toronto. The Executive Assistant is responsible for providing day-to-day administrative support to the Managing Directors and select team members. Responsibilities will include managing calendars, meetings, expenses, as well as assisting with presentations, travel, events, correspondence and group initiatives.
Accountabilities:
- Provides general administrative support to the Managing Director(s) and to the wider team. · Books and supports complex global travel arrangements, itineraries, or other related duties. · Prepares Executive and Department-level documents and ensures submissions are delivered on a timely basis, with meticulous attention to detail.
- Proactively manages multiple calendars, including scheduling internal and external meetings, room bookings and calls, and works with global departments/offices to coordinate logistics.
- Coordinates the departmental and team event planning process, as required.
- Supports the onboarding of new employees joining the team.
- Works closely with external partners, assistants, vendors, and other stakeholders to schedule meetings or events.
- Work closely with other Executive Assistants and teams to increase efficiency and provide overall departmental support.
- Ensures team members are prepared for all meetings and carry-forward action items.
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organization with utmost discretion.
- Coordinates and performs critical internal processes for the team.
Qualifications
- College diploma or bachelor’s degree
- 6+ years administrative support with experience working in a fast-paced, professional environment.
- Prior experience in the financial services or related industry is an asset.
- Requires strong communication skills, both written and verbal in English
- Experience with complex calendar management, booking high-profile meetings and events, scheduling travel, and performing the expense reimbursement process.
- Experience providing support to senior professionals and managing competing priorities.
- In-depth knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
