Job Description:

Location: San Jose, CA (On-site, Full-time)

About the Role:

We are seeking a highly organized, detail-oriented, and proactive Executive Administrative Assistant to support the Vice President of Sales at our San Jose, CA office. This role is pivotal in ensuring the smooth functioning of the Sales organization by managing daily administrative and operational tasks, coordinating with customer executives and their support teams, and handling critical responsibilities such as calendar management, travel coordination, and event organization.

Key Responsibilities

• Executive Support:

• Manage and prioritize the VP’s calendar, scheduling meetings, and ensuring efficient time management.

• Prepare daily briefings, agendas, and materials for meetings.

• Handle sensitive and confidential information with professionalism.

• Travel & Expense Management:

• Organize complex domestic and international travel itineraries.

• Process expense reports promptly and accurately.

• Track travel budgets and ensure compliance with company policies.

• Customer Relationship Management:

• Serve as a point of contact for executive administrative teams of customer organizations.

• Build and maintain strong relationships with internal and external stakeholders.

• Event Planning:

• Organize team offsites, customer meetings, and executive events.

• Manage logistics, catering, and other event-related needs.

• Administrative Support:

• Utilize the Google Workspace (Docs, Sheets, Slides, Drive) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to prepare documents and presentations.

• Oversee office-related tasks such as supply inventory and meeting room setup.

• Communication:

• Draft and edit correspondence, reports, and other materials with impeccable grammar and professionalism.

• Liaise effectively with internal teams, clients, and other executives.

Qualifications

• Experience:

• Minimum of 5 years of experience as an Executive Assistant, preferably supporting C-suite or senior executives.

• Skills:

• Proficiency in Google Workspace and Microsoft Office Suite.

• Exceptional organizational and multitasking abilities.

• Strong relationship-building skills and customer-centric mindset.

• Expertise in managing complex calendars, travel arrangements, and expense reports.

• Excellent verbal and written communication skills.

• Attributes:

• A proactive problem solver with a keen eye for detail.

• Ability to work under pressure and meet tight deadlines.

• Strong sense of discretion and confidentiality.

This is a full-time, in-office position located in San Jose, CA. Remote work is not available.

Additional Job Description:

Compensation and Benefits

The salary range for this position is $30.00 - $40.00 per hour.

 

This position is also eligible for a discretionary annual bonus in accordance with relevant plan documents.
