Job description: ICF Next is one of the leading integrated communication agencies in Europe, specialising in large-scale events across the European Union and abroad. We are looking for a creative and dynamic team player to fill the position of Junior Event Manager. The ideal candidate has a good knowledge of event management as well as strong communication skills; has experience in working for the preparation and delivery of physical, hybrid and online events in a qualitative and timely manner; manages logistical and operational tasks for small and medium-size event projects; is proactive and solution-oriented; has a natural interest in delivering sustainable, inclusive and novel event services.
Responsibilities:
- Planning of preparation tasks and logistical services for events
- Logistical services for small and medium-size event projects from A to Z
- Daily contact with clients (mainly the EU Institutions)
- Registration services (CVENT, B2Match Swoogo) and knowledge/management of online registration tools and platforms
- Management of travel and accommodation services
- Technical tests, briefings, rehearsals and event management during online or hybrid events
- Delivery of online events by setting up and managing online event tools like Sli.do, Zoom, Webex, Interactio, MS Teams.
- Event management and delivery of logistic services during physical events
- Coordination with service providers and suppliers, setup of vendors and creation of POs
- Coordination with internal creative and production teams involved in event projects
- Day-to-day supervision of project tasks – management of event projects in parallel
Requirements:
- From 2 to 3 years’ experience in event organisation and management in a communication environment, preferably for the EU Institutions
- Excellent organisational and planning skills
- Client-focused approach and mentality
- Proven knowledge and experience in management and delivery of events onsite and online
- Proven organisation and delivery of online and physical event projects (conferences, meetings, webinars, seminars, roadshows) with networking and exhibition activities
- Good knowledge of online registration and badging services (CVENT, SWOOGO, B2Match, etc.)
- Good knowledge of online conferencing and engagement tools and platforms (Zoom, Webex, Interaction, MS Teams, Sli.do.
- Ability to operate and use corporate project management tools.
- Extensive understanding of Artificial Intelligence (AI) and its applications in event organisation and use of internal, corporate tools.
- Strong communication skills and team-work spirit
- Attention to detail and quality in services
- Excellent knowledge of English and French (any other language, i.e. German or Spanish will be considered an asset)
- Focus on cost-efficient, novel, inclusive, gender-balanced and sustainable events
