Job Description:

As Events Assistant you will support the delivery of IF&R events, assisting the IF&R Assistant Manager (Events) and the wider IF&R marketing team. In addition you will support the team in ensuring all event activities are well communicated, and feedback, performance, and ROI are regularly captured.

This is a 12 month fixed term contract.

Event Organisation: Assist with the organisation and on-the-day, in person support of events, including:

  • Administration of event-related activities such as invites, agendas and promotional material.
  • Adhering to firms ethics, due diligence and hospitality processes and ensuring relationships and new clients are logged.
  • Finding and booking venues. Liaising with caterers and negotiating contracts with suppliers.
  • Acting as the RSVP contact on invitations.
  • Responding to external and internal event enquiries professionally and promptly.
  • Maintaining and logging event guest lists.
  • Keeping internal stakeholders regularly updated on RSVP progress.
  • Assist in maintaining event budgets and financial records, including processing invoices
  • Collaborate with the marketing team to promote events through various channels, such as social media and email campaigns

Event Analysis: Produce event analysis by:

  • Collating feedback from guests.
  • Ensuring requests for further information are followed up by relevant personnel.
  • Collating internal feedback.
  • Producing summary reports of statistics.
  • Work closely with the BD team to ensure events achieve commercial objectives.
  • Work collaboratively with the wider markets and clients team to ensure alignment of firmwide message and approach where appropriate.
  • Support managers, senior executives, and other team members' workloads when appropriate.
  • Develop strong and trusted relationships with stakeholders.
  • Act with integrity and in line with organisational values.
