ABOUT THIS ROLE

The Employee Stock Plan Administrator will be responsible for the day-to-day management and administration of the company's stock plans, ensuring compliance with regulatory requirements and providing excellent service to our participants. This role involves detailed record-keeping, regular communication with employees, finance professionals, and external vendors, and staying up-to-date with relevant securities and tax regulations affecting stock compensation. 

 

Key Responsibilities

Plan Administration: 

  • Administer employee stock purchase, equity, and other stock-based compensation plans. 

  • Process transactions such as grants, exercises, and cancellations meticulously and ensure all transactions are compliant with internal policies and external regulations. 

  • Maintain accurate records of all stock plan transactions and ensure that vesting schedules, exercise periods, and other plan criteria are managed effectively. 

 

Compliance and Reporting: 

  • Ensure compliance with all regulatory and reporting requirements associated with stock plans, including SEC filings, Section 16 insider reporting, and IRS returns. 

  • Prepare and distribute detailed reports to HR, payroll, legal, and finance departments on a regular basis to ensure accurate accounting and reporting of stock-based compensation. 

Employee Support and Education: 

  • Serve as the primary contact for queries related to stock plans. Educate plan participants on plan features, enrollment, and procedures. 

  • Develop and distribute educational materials and conduct presentations and webinars to enhance understanding of the company’s stock plans. 

Vendor Management: 

  • Liaise with external plan administrators, brokers, and transfer agents to ensure service standards are met. 

  • Evaluate and select vendors, negotiate contracts, and manage ongoing relationships. 

Plan Design and Implementation: 

  • Assist in the design of new stock plans and the modification of existing plans to align with the company’s strategic goals. 

  • Implement new plans and changes including systems setups, employee communication, and coordination with external advisors. 

 

Education and Experience: 

  • Bachelor’s degree in Business Administration, Finance, or a related field required. 

  • Certified Equity Professional (CEP) credential is highly advantageous. 

  • 5+ years in stock plan administration or in a related field such as human resources, payroll, or finance. 

  • Experience with global equity programs and knowledge of tax and securities law as it pertains to stock plans in multiple countries. 

 

Preferred Qualifications: 

  • Strong knowledge of equity software platforms such as Certent, E*TRADE Corporate Services, Fidelity PSW, or similar. 

  • Experience with financial reporting and tax reporting related to equity compensation. 

  • Proven ability to handle confidential information with discretion and professionalism. 

 

Knowledge, Skills, and Abilities: 

  • Technical Skills: Proficient with Microsoft Office Suite, especially Excel, and familiarity with databases and equity management software. 

  • Analytical Skills: Ability to interpret financial data and legal documents to ensure compliance and inform stakeholders. 

  • Attention to Detail: Precision in handling details necessary for accurately executing transactions and maintaining documentation. 

  • Communication Skills: Excellent verbal and written communication abilities with experience in educating and answering participant inquiries. 

  • Organizational Skills: Strong organizational and time management skills to handle multiple responsibilities simultaneously.

Salary Range

$90,400-$113,000

The annual base salary range for this position is noted above. Exact compensation offered may vary depending on job-related knowledge, skills, experience, and office location.
