Responsibilities
- Calendar & Scheduling: Manage complex calendars, coordinate meetings across time zones, and anticipate scheduling conflicts.
- Communication & Correspondence: Act as a liaison between the CEO, CTO, and internal/external stakeholders, ensuring clear and timely communication.
- Meeting Preparation & Follow-Up: Prepare agendas, take detailed notes, track action items, and ensure follow-ups are completed.
- Project Coordination: Support key initiatives by managing deadlines, organizing materials, and keeping stakeholders aligned.
- Travel & Logistics: Plan and book travel, accommodations, and itineraries for domestic and international trips.
- Confidential Support: Handle sensitive company information with discretion, maintaining professionalism at all times.
- Office & Team Coordination: Assist with team events, leadership offsites, and operational processes as needed.
How You’ll Contribute
- Increase Executive Efficiency: Ensure the CEO and CTO can focus on high-impact work by reducing operational overhead.
- Improve Cross-Functional Collaboration: Streamline communication and workflows between departments.
- Enhance Meeting Productivity: Organize and optimize executive meetings to drive clarity and decision-making.
- Drive Proactive Problem-Solving: Anticipate challenges before they arise, keeping operations smooth and strategic priorities on track.
Qualifications
- Experience: 5+ years as an EA, Chief of Staff, or in an operational role supporting C-level executives.
- Organization & Attention to Detail: Ability to manage multiple priorities, deadlines, and last-minute changes with precision.
- Communication Skills: Strong written and verbal communication, with the ability to interact confidently at all levels.
- Tech-Savvy: Proficient in GSuite, Slack, Notion, and other productivity tools; comfortable learning new systems.
- Discretion & Professionalism: Experience handling confidential information with the highest level of integrity.
- Problem-Solving Mindset: A proactive thinker who anticipates needs and takes initiative.
- Adaptability: Comfortable in a fast-paced, high-growth environment where priorities shift quickly.
